Scheduling Brief

Scheduling

Scope

  • Replay Scheduler is the scheduler for lecture recording.  It takes a feed from Timetabling, a feed from EUGEX and data from Echo360.  This data is used to create automatic recordings schedules for all lectures in centrally bookable rooms with lecture recording equipment.  In addition to automatic scheduling Replay Scheduler has a WebUI frontend which allows Course Organisers and Course Secretaries, plus other nominated users to ‘Opt-Out’ of automatic scheduling.
  • As planned there will be an update to the functionality within the Replay Scheduler application which was delivered as part of MLE004.

Objective and Deliverables

O1

As we moved from Phase 2 of our work to this final Phase 3 we have taken feedback from our user base, the Academic User Group and our lecture recording learning technology administrators within schools (School Replay Support).  Subsequently the following development list has been compiled.  This development list has been approved by the Steering Group and the Programme Board.  Importantly, both the Steering Group and the Programme Board agreed that four items for potential development noted during our feedback sessions should not be developed.  Therefore this set of deliverables (development list) is the final list. Our objective is to complete these developments in readiness for the 19/20 academic year.

D1.1

Small number of bugs and improvements to the administration screens and data flows.  We were able to mitigate these items during the launch of Replay Scheduler with no impact to the running of the service. (M)

D1.2

Course Organisers and Course Secretaries (CO/CS) will be able to add additional users to their courses themselves instead of placing a service call. (M)

D1.3

Add a ‘show me my courses’ button to the search screen.  This will be particularly useful for Course Secretaries who have many courses. (M)

D1.4

Improved room management in the admin section of Replay Scheduler so that rooms become inactive rather than having to be removed directly from the Replay Scheduler database.  This will save time as there will be no need to request a change with Production Management.  It will also have benefits to reporting over the medium to longer term. (M)

D1.5

The ability to add multiple users to Replay Scheduler at one time using their UUNs only.  This functionality will be for Super Admins (Service Team) only. (HD)

D1.6

Automatically linking Learn courses to the representative course area in Media Hopper Replay (Echo360).  Currently the link has to be done manually by the CO/CS. (M)

D1.7

An improved audit screen for Super Admins where they can search.  This will bring the ability to search user actions against date and time.  Currently only the last action is seen. Actions could be cleared at the end of the academic year. (M)

D1.8

An improved audit trail for CO/CS.  This would be a similar screen to D1.7 but with filters for users who have course or school privileges. (HD)

Notes:  None of these items were noted as new or lengthy developments by software development.  Instead they will build on the solid foundations already in place. Each deliverable will be supplemented by updated service pages, training materials and training course updates to the current business as usual offerings.
