Description

eCommerce (on-line purchasing of goods and services) within the University is currently undertaken via two applications, PECOS and SciQuest.  As a large amount of the functionality is similar between the two applicationsand there is a significant administrative burdon of managing both of them, the decision has been taken to consolidate to just one system.  A previous project has undertaken analysis of both systems to establish which system to retain and which to decommission.  The result of that analysis was that all current users and suppliers will move to SciQuest and PECOS will be decommissioned.

Whilst SciQuest was found to be the most functionally rich system in many areas, there are some elements of the interfaces with eFinancials which require improvements in order to bring them up to standard.

Objectives

  • To enhance the SciQuest interfaces to eFinancials to include good receipts and goods returns information
  • To enhance the SciQuest interfaces to eFinancials so that they  load into eFinancials without manual intervention
  • To enhance or replace the eFinancials interface to SciQuest of financial codes & users such that only valid & authorised financial code combinations are offered to end users in SciQuest
  • To provide a replacement for the PECOS to Saffron interface of goods receipt data for stock control purposes
  • To complete a one-off load of new users from eFInancials to SciQuest using the bulk upload routine
  • To decommission PECOS interfaces to and from eFinancials

Dependencies and Constraints

  • Procurement Office need to purchase & configure the goods receipt module within SciQuest
  • Procurement Office need to set-up & configure additional suppliers and supplier catalogues in SciQuest
  • SciQuest need to modify the goods receipt module to output goods receipts & goods return data in the right format and location for the eFinancials interfacesto pick up
  • SciQuest need to make changes to their core application to accept the valid financial code combinations from eFinancials
  • ABS may need to make changes to the cibr process to pick up files from SciQuest (assuming that this is the chosen design option)
  • The successful completion of this project is a pre-requisite for Estates & Builsing migration onto SciQuest (EST083)

Legislative Impact

  • The PECOS application is provided by Scottish Government and so the decommissing must be handled in a sensitive manner
