The hierarchy of the Projects will be 5 levels with related documents stored within each level. These levels are:
Level 1 Feasibility
Reports
Drawings
Retention period: Project Lifecycle – can be destroyed when project ends
Level 2 General
Financial Management
Governance
Correspondence
Meetings
Programmes
Reports
Working Drawings
Bills and Specifications
Retention period: 6 years after end of project – whereupon they can be destroyed
Level 3 Procurement
Goods
Works
Services
Retention period: 12 years after end of project – whereupon they can be destroyed
Level 4 Legal and Statutory
Title and Land Agreements
Funding Agreements
Statutory Consents
Completion Certificates
Retention period: permanent – these can never be destroyed
Level 5 Temporary folder
Houses documents that will become Live documents such as Health and Safety Manuals and Operation Manuals and moved to the appropriate buildings folder under EBLDGS. They cannot be promoted to Live while not finished as this can cause confusion - this is not acceptable because of the type of documents that they are
