Overview
Background
The clear understanding and communication of project roles and their responsibilities is essential to running successful projects. In the past, there have been examples of cases where the lack of understanding of these roles and what they entailed, as well as the responsibilities they carried, has led to issues, such as lack of engagement or ownership. This project aims to remedy such issues through investigating the current processes, taking into account any common misunderstandings or lessons learned in the past. It ill develop the use of RACI matrices, to provide guidance about key elements of project roles going forward.
Scope
Within scope is the review of the following project roles:
- Project Manager
- Programme Manager
- Portfolio Manager
- Project Sponsor
- Senior Supplier
- Business Lead
Also in scope is the RACI mapping of the following key agreed tasks and templates, with regard to the above roles:
Tasks:
- Monthly Reporting
- Risk and Issue Management
- Change Management
Templates:
- Project Brief
- Completion Report
Given that Development Technology is available to contribute, this project may extend to consider TAD (Technological Architecture Document) as well as the above to templates.
Finally, it is within the project's scope to summarise its findings into several RACI templates and matrices and a summary report. It is also in scope to deliver some quick win changes.
Not in scope
It is not in scope for this project to consider additional roles, such as the role of Business Analysts. It also is not in scope for this project to consider any tasks and templates other than the ones outlined above, or to deliver the review's findings in another form not outlined above.

Benefits
- Gaining a better understanding of the current practices, including both the potential benefits and the potential pitfalls of nonstandard approaches.
- Improved project delivery through the improved description of what each project role should be doing.
- Improved processes for managing roles and responsibilities through quick win changes.
Success Criteria
- Collected sufficient data on current processes from multiple sources (ie interviews, surveys, document reviews).
- Analysed this data with regards to not just current practices, but also with regards to best possible practice.
- Produced all of the deliverable documentation (Summary Report, individual summaries and matrices).
- Delivered some quick win changes in project roles and responsibilities to streamline the project management process.
- Made available all deliverable documentation to the users of the Projects website.
