Executive Summary

 

Staff in the University’s Student Disability Service (SDS), have 2 web-based ColdFusion applications, RADIUM and KELSO, which run against a SQL Server database.

 

The KELSO database is the source of the SDS’s 2 waiting lists:

 

  1. Educational Psychologist waiting list
  2. Needs Assessment waiting list

 

The Student Disability Service (SDS) needs to handle over 650 appointments annually. This consists of  +250 Needs Assessments for Advisors to assess a disabled students needs, and over 400 appointments for students to see an Educational Psychologist.

 

The SDS also helps students to apply for Disabled Student Allowance (DSA). It’s a large part of the work carried out by the service as SDS Advisors carry out over 250 Needs Assessments each year. This brings in about £85,000 of income which is crucial to the running of the service.

 

This project is concerned with the following enhancements to the Kelso database system:

  1. Added functionality and overhaul of the two waiting list systems listed above
  2. A more efficient Needs Assessment, repeat DSA process

Other Enhancements:

The initiation of this project has identified that the SQL Server Database has to be upgraded and that the ColdFusion version of the waiting lists needs to be upgraded. Before any changes can be made to the waiting lists or DSA process, the upgrades will need to be carried out.

There is also the potential that the framework (Fusebox) will need to be changed as the current framework is not one widely used in the University at this time.

Scope

 

The scope of this project includes the following:

  1. Upgrading the Kelso database to the supported version of SQL Server
  2. Determining what version of ColdFusion to upgrade the applications to
  3. Upgrading the applications to the agreed version of ColdFusion
  4. Analysis of whether the framework needs to be transferred from Fusebox to Mach II (at the time of submitting the TOR the actual transfer of the framework is excluded from the scope)
  5. Business Analysis of what is needed to incorporate the requirements for an updated Educational Psychologist waiting list , Needs Assessment waiting list and a more efficient Needs Assessment, repeat DSA process
  6. Analysis of how the business requirements can be incorporated into the information systems used by the Student Disability Service staff.
  7.  Estimating the effort required to make the necessary changes to the information systems used by the Student Disability Service staff.
  8. A decision on the priorities for any enhancements and a decision of which elements can be included in the project or will need to be planned as part of a future project.
  9. Developing the code to implement the agreed changes for the Educational Psychologist waiting list , Needs Assessment waiting list and the Needs Assessment, repeat DSA process.
  10. Testing these changes before release for UAT.
  11. Moving the successful changes into the TEST versions of the systems listed above and undertaking UAT to test the upgraded functionality/ processes.
  12. Obtaining user sign-off of the modified versions of the Educational Psychologist waiting list , Needs Assessment waiting list and the Needs Assessment, repeat DSA process.
  13. Deploying these changes into LIVE
  14. Updating the Technical Architecture Document and any other relevant support documentation.
