Overview

Background

The Student Systems Programme Management wants to provide resources that can be focussed on continuous improvements to ensure that enhancements and small changes can be made to existing systems and processes where they can have an impact on the student experience.  This project has been set up for this.  This work will be driven by the users of our systems, feedback from support and project implementations and technical enhancements.  In selecting the improvements, the same decision-making principles and criteria are used as for the rest of the Student Systems priorities:

  • Is there a link between the proposed work and the strategic priorities that the student systems support?
  • Is there senior level support in the right areas?
  • Do the areas impacted by the work support the development?
  • There are clear benefits and efficiencies to be delivered by the improvement. 

The size and make-up of this series of improvements (work packages) will be managed by the Student Systems Partnership (SSP) in consultation with the Student Systems Programme Management and appropriate business area with the SSP providing development solutions.

Scope

The scope of this project will include:

  • work on any area of systems that SSP has responsibility for. For example, this can be a specific area in EUCLID, Mini-Portfolio, Personal Tutors or EUGEX
  • refining of standards for technical tools and processes.  
  • supporting upgrade of development tools
  • analysis to support other business areas

 

Objectives

The over-riding objective will be to deliver solutions to improve the Euclid services and make an impact to the student experience or improve business processes.  This will be achieved by having a partnership with the relevant business area.

 

Deliverables

Deliverables will be identified from the analysis undertaken as part of the investigation of the improvement. The deliverables will be documented as User Stories in JIRA.  The steps for progressing an improvement are:  

  • Identification of improvement
  • Document requirements/deliverables with the business, to include business and system changes
  • Prioritise and estimate the system changes, with the business owner included in this process
  • Deliver solution in an agile manner so that business owners are involved in the prioritisation of requirements so those that will deliver most impact are included within the allocated resource.

 

Benefits

Each improvement will provide an improvement to a process or provide a new process for a particular business area, with the benefits focusing on improving the students'/applicants' experience or providing efficiencies. 

 

Success Criteria

Each improvement will have its own success criteria which should be able to be measured by the adoption and future ownership of the improvement by the business area.  This may be achieved in a number of ways but is likely to include simplification and benchmarking the old & new process.
