Project Summary:

The purpose of this project was to provide an easy to use reward calculator which would enable current or prospective employees to see the full value of their reward package from working for the University of Edinburgh.

The project has achieved this and by planning a delay between the HR EdWeb pages going LIVE and the calculator's deployment to LIVE, the project has been able to go LIVE with the recently updated pay scales, thus saving a support cost for the Business.

Scope as defined in the Brief:

  • The Reward Calculator will be available to the world
  • The user will enter the Grade, Spinal Point and Pension Scheme
  • The calculator will default to the standard pension scheme based on choice of Grade and Spinal Point
  • The default will be for FTE (35 hrs per week) with the option for the user to enter part time hours
  • The Calculator will return:
  1. Total Reward
  2. Basic Salary
  3. Pension Benefits(including the Employer's Contributon)
  4. Annual Leave entitlement
  5. Descriptions of Sickness benefits and Additional Benefits

The project remained in scope. However there was a post LIVE deployment request from HR to change the annual leave entitlement before the Calculator was published in EdWeb.

Objectives as defined in the Brief:

  • To provide employees and potential employees with a simple Reward Calculator to view the Total Reward value of working for the Universty of Edinburgh
  • To ensure the Reward Calculator is easy to use and accessible.

The project achieved its Objectives. Please note that an EQiA for this new service has been completed and published by HR.

Success Criteria as defined in the Brief:

  • The Reward Calculator will accurately return all the information outlined in the scope section above, once the user has made their selections
  • The Reward Calculator will perform on a wide range of browsers
  • The Reward Calculator will be accessible.

The project met all its Success Criteria and can therefore be considered a success

General feedback

  • The Project Manager would like to acknowledge the quality of work from the analyst/developer, business lead and production management lead on this project which has enabled it to be delivered to schedule and budget.
  • The HR Business lead provided the following general feedback: "I would like to thank you all for your support and work on creating the calculator – I think it looks great! In terms of working together (IS an HR) – it was always very straightforward and responses were quick. All of the requests for the calculator were met."
  • The analyst/developer provided the following feedback: "I think this was a very successful project.  I enjoyed working on it, mostly because Lucy gave us a very good level of engagement throughout the process."

Staff Usage Estimate: 13 days

Staff Usage Actual: 15 days

Explanation for variance:

The project was initially estimated as 13 days but a late change in the annual leave calculation caused the budget to be increased to 16 days.

As the project has delivered in 15 days, it has completed within its estimate.

Key Learning Points:

  • It would have been helpful to have met with the HR EdWeb lead earlier in the project rather than just the UWP010 project lead as this would have avoided uncertainty of responsibility for deployment of the calculator. The HR EdWeb lead was required to grant access to IS Apps to deploy to the HR pages in EdWeb. For future projects where an application is being proxied into EdWeb, the project's Implementation plan should define:

1. Ownership for creation of the EdWeb page that the application will be proxied into (ie Business or IS Apps) 2. Access rights that are required to proxy the application into EdWeb and who can grant the access

  • More robust feedback should have been sought in the initial stages and the question specifically asked of people that they agreed with the way leave entitlement was calculated.
