The Estates Share Project had a formal project review in October with the Business and the new Portfolio and Programme Manager who has been appointed by the Business to assure the  Projects and Programmes of work for the Business. This review was to look at current status on project and also strategic direction.  The outcome of the formal review was that the project would still  progress, however there would be a stage review after the requirements gathering has completed.

Since October the  Requirements Gathering has now come to a stop due to issues with resourcing. The SharePoint Specialist Ruth Churchman left in Mid November and since then there has not been any resources to work in this area. A SharePoint Specialist and Developer  are now planned to come on board in January 2020 to work on the Estates Share Project. A summary high level analysis has been completed of the work to date and this will be then be used to do a detailed analysis.

Work has carried on in the areas  in defining the Metadata and also the Retention Schedule, however this is limited until we understand what is the strategic direction of  the Business. In parallel we are holding Awareness Sessions with the Business to ensure that the Business have an understanding of what the project  is currently working on.

Next Steps

  1. Hold a workshop with the Business to review the  requirements and how these will be built in SharePoint
  2. Agree overall strategy for Implementation of Estates Share and what are the Quick Wins
  3. Agree the roles and responsibilities of the Project
  4. Agree who will be the Business Leads (Champions ) to take the project forward
  5. Finalise recruitment of the SharePoint developer

Issues

  • Due to reduced resources on the SharePoint team and the Project under a Strategic Review the timeline, scope  and the budget have been impacted.
  • Roles and Responsibilities are unclear on the project. 
  • Communications and Change Strategy is  not clearly defined. Work has started , but this will need to be reviewed after the Strategy has been completed
  • There needs to be a clear plan for next steps 
  • Business Champions are needed to be embedded in the project once the new plan has been agreed
