Achievements in Last Period

• FIN118 successfully deployed to LIVE with all interfaces connected and working.

Issues 

• eExpenses had to be migrated to an isolated instance post Go-Live due to a 'Java Memory' error messages being received;
• Various FPM issues experienced in the weeks following Go-Live which resulted in additional support time being spent on the project.
• Project Manager/ Apps Man and Dev Tech spending significantly more time post Go-Live than anticipated due to the errors being identified by the business.  Most errors were resolved in a timely fashion by the project team.
• Change of supplier installer occurred on the day of the Go-Live which meant there was an additional risk to the project for the deployment.
• Change of supplier FPM support potentially impacted on the FPM config/availability post Go-Live due to the new support not being as aware of the UoE requirements for FPM.

Next Steps 

• DSOR to be signed off (meeting scheduled for 6th December);
• Lessons learned to be formalised;
• Decommissioning to be undertaken;
• Project to be closed

Achievements this Period

• Development Resource is now re-secured (28-Nov-2018) to continue works against this Project, as expected around 2 weeks of Resource were lost
• Work again underway to develop the API / XML Handler

Issues

• None

Next Steps

• As the Project re-initiates early December the Milestones need to be re-reviewed / realigned to address time lost to other Highest Priority Projects during November (notably FIN118 eFinancials Upgrade and Migration and MLE004 Lecture Room Recordings).  It is not expected that delivery / closure milestones are greatly affected
• Submit a PICCL to WIS to realign the Project milestones once works / test scheduled are firmed up again
• Continue work packages / development of the API / XML Handler

FIN123 (AP56-016)

Annual Finance Document Revitalisation 17/18

RAG Status : AMBER: Having been red in September, FIN123 has been unable to complete deliverables due to consultant availability to undertake all required work. This impacted the milestones and has resulted in a number of risks and issues to the project which effects stakeholders in Finance (Risk 7(Change to Project Scope) , 8 (Delay to Documentation being Updated), 9(Unable to complete all required changes within allocated time), and Issue 6 (Delay to Milestones)). The Project Team has however now agreed a reduction in scope (moving outstanding compliance requirements from this 2017/18 project into 2018/19 annual project) and a route to closure for this project. This will be undertaken to ensure alignment with dependant project, FIN118. FIN123 will remain as AMBER for November due to the delay in completing the project as a result of the FIN118 deployment and subsequent work undertaken to stabilise the FPM application. As a result, there was no available resource to progress with the outstanding actions to allow FIN123 to be completed.

Above milestone dates will change once these have been approved via WIS on 07/12/2018.

Achievements

Due to FIN118 deploying mid November, no additional work was undertaken on FIN123 as the remaining work required was dependant on FIN118 being successfully deployed.

Issues 

No issues as delay due to FIN118 deployment.

Next Steps 

• Approval from WIS of change to scope/milestones due to delay received from contractor;
• User Acceptance Testing to be undertaken in v5 once completed;
• All remaining changes to implement into Live once acceptance has been completed and signed off.
• Closure report to be completed;
• Project to be closed.

• Filming completed on 5th, 6th, and 13th November
• Post-production almost complete
• Initial feedback received from key stakeholders has been very positive
• A total of 6 videos will now be produced

Achievements

• DPIA completed in DPIA workshop with Finance team and Data Protection Officer
• Drafted project brief and high level plan
• Viewed demo of suppliers' GDPR patch for eFinancials

Issues

• No agreement yet on project estimate - to be agreed with sponsor and team - cost RAG marked as AMBER
• GDPR patch for eFinancials not fit for purpose, as it stands - feedback has been provided with supplier and awaiting confirmation - scope RAG marked as AMBER
• Further time required to complete Planning due to reflection time on DPIA to feed into the project brief and plan - to be incorporated - time RAG marked as AMBER

• Confirm quality of GDPR patch for eFinancials with Finance and supplier

• Sign off project brief, plan and estimate to confirm and sign off end of planning stage
