Overview

 

Scope

 

The university implemented a new recruitment system in October 2012. Prior to the initial launch a number of requirements were agreed for delivery under a follow on project. This was primarily to allow the project team to focus on critical requirements in order to meet the hard milestone in October 2012. Since the launch of the eRecruitment system these postponed deliverables have been reviewed and this Phase 1b project will seek to deliver changes agreed as still required by the Project Board and User Group.

In addition, there have been additional requirements identified post launch which will also be delivered by this project as they are viewed as improvements to the user experience.

Any requirements for changes to implement the University’s revised redeployment policy are out of scope of this project. The roll out of the talent pool functionality will also be out of scope for this project.

It should be noted that the previously proposed updates to the HR and IDM interface will not be delivered by this project. A recent manual activity to obtain emails from IDM that were not held in Oracle HR identified that of the ~ 3000 that were not in Oracle HR less that 500 were held in IDM. Therefore the updates considered to the HR and IDM interface would not provide the desired benefit to HR at this time. 

 

Objectives

  1. Deliver System usability enhancement and Bug Fixes agreed as Phase 1b deliverables during the Implementation of eRecruitment by July 2013.
  2. Implement the BOXI Universe which was delivered to TEST during Phase 1 of the project
  3. Replace the PDF Generation software with Core’s chosen product
  4. Consolidation of DEV and TEST URLs
  5. Decommission of Jobs application

 

Deliverables

  1. System enhancements and bug fixes to meet agreed user requirements (Core and HR)
  2. Updated Succesfull Applicant Interface (IS Apps)
  3. BOXI Universe to be deployed to LIVE (IS Apps)
  4. PDF Software replacement (Core and IS Apps)
  5. Updated DEV and TEST URLs that are inline with those for LIVE (i.e. www.vanacies.ed.ac.uk)
  6. decommisioned existing PDF servers and Jobs Application
  7. Revised system documentation

 

Benefits

  1. Improve user perception (both applicant and recruiter) of the universitys new recuitment system
  2. Reduce rekeying that is currently required as a workaround for some feilds not feeding through to the back office
  3. Reduce time required for shortlisting by improving the PDF outputs (font size and page dividers)
  4. Reduce system support effort for monitoring the PDF queue for blocked documents
  5. Remove applicants concern that they have not succesfully booked an interview slot by providing confirmation of succesful selection

 

Success Criteria

  1. Succesful completion of individual test scenarios for each requirement (as documented and agreed in the Business Requirements Document)
  2. Users are able to produce PDF outputs that include page dividers between each application and are output in a standard font size
  3. Users are able to produce PDF outputs that do not "block" when a password protected or corrupt document in encountered
  4. Users are able to generate BOXI reports as required
  5. Succesful applicant interface is updated to incorporate new requirements with no impact to existing functionality
