Meeting Minutes. 29th November

General.

- The weekly meeting has been moved to accommodate Geir who is on leave each Friday until Christmas break. The meeting will revert to Friday morning after the Christmas break.

New Actions

1.UWP to handle all comms. Action will be added to the plan 3 weeks prior to deployment to trigger comms to wider Polopoly community. Action - Stevie/ Bruce

2.New Actions. Stratos to view new Polopoly version 10 on local install. Geir to facilitate. Action Stratos/Geir.

3. General testing effort which covers all detailed test scripts is estimated at 50 hours duration by UWP. Some of the testing effort may be split over different environments but this will be in the plan we agree-  Action Bruce/Stratos/ Stevie

UWP008 - POLO Database Upgrade

Database upgrade will move the POLO database to the new database architecture infrastructure resulting in a small increase in budget but within the annual planning estimate . The brief  will be completed w/e 22/11.

Brief Completed and Approved. Project is now suspended until the completion of UWP007. UWP007 must upgrade the CMS before the database can be upgraded.

UWP007 - Polopoly CMS Upgrade

 In addition to upgrading Polopoly to version 10, the project will now assume responsibility for the Polopoly front end server upgrade.

The investigations have been ongoing into the Polopoly 10 upgrade and the resulting estimate from development suggests some substantial effort will have to  be applied. 

This estimate will be clarified to determine what the days cover namely

1. Is the estimate  for the development install effort ?

2. If yes what is the effort to install on TEST and consequently LIVE.

3. The document mentions further developer effort may be needed (P3). This needs clarified and estimated.

4. Does the estimate include the creation of new deployment instructions to include, for example, how to configure the legacy  Lucerne search mentioned on Page 1.

Geir and Mairi's time to be discussed with their resource manager  - Stevie to follow up with resource Manager. Action complete . Resources for Development allocated.

Investigations have been ongoing this week as to the compatibility of Polopoly with our proposed  standard new servers. This is planned to complete this week Action . Stevie to follow up with the Dev Tech team.

Action complete  . Investigations completed by Dev Tech  

A planning and resource meeting is scheduled for Monday to firm up estimates and requirements ,  brief expect to complete w/e 22/11. Action Complete . Brief completed and signed off.

Determine whether layout of Brief is acceptable or should it be presented in tabular form - Bruce. Action complete Layout OK.

UWS004

UWS004 will deploy to LIVE as planned on the 03/12. It has been determined that the new search  does not compile with Polopoly 10 and some time will be planned into UWP007 to ensure the effort to address the issue can be sized. If the effort proves to be too costly the UWS004 changes can be rolled back.

UWS004 will be rolled out to LIVE as planned.

Stratos to review document and determine whether he needs to see Polopoly 10 on the local install or wait until the Dev rollout which will be January at the earliest - Stratos. Stratos would like to se the new Polopoly version, even if just ion the local install. see new action above.

General

The Comms to the wider Polopoly community will be handled by the UWP team . UWP will determine what and when to communicate including ,but not exclusively,  what is communicated as regards the new look and feel and what training may be required . The UWP comm's preparation and timing will be added to the projects schedule and plan to ensure it coincides with the technical deliverable milestones.  - Stratos/Bruce.
