Infrastructure Components

No change to Server components - either by Worktribe ltd in the cloud , or by IS Apps for interfacing or external reporting solution

Application Components

Worktribe Ltd will upgrade the LIVE system to v2.2.218 , and apply database scripts to move data in line with the database schema changes in the new version of Worktribe Research Management

1] UoE Advise user community  of planned downtime - IS Alert raised for 15th May at 5pm  - Jamie Thin /  Craig Middlemass

2] Switch off daily crons during maintenace period as required ( UoE IS Apps)- not required disabled by Worktribe Ltd at their end

3] Put ed-rmas in maintenance mode to lock out users and  Back up ed-rmas (Worktribe)   Worktribe Ltd - started at 5pm on Mon 15th May

4] Worktribe Ltd apply upgrade  Duration = 4 hours - TBC

5] Worktribe Ltd - do their own peer checks  

6] Worktribe Ltd hand the system back to UoE  - expected 10am on Tues 16th May 

7] Worktribe Ltd do a manual run of the data extract to LIVE - As required or wait until first overnight run on night of Tues 16th May - Worktribe Ltd - Matt Southall available for support

8] Worktribe Ltd enable searches on old 'Portfolio Code' - see Ticket 5772 -  expected 10am on Tues 16th May 

 9] RGS run multiple search and replaces to update portfolio group codes - Duration = 0.5 days Gary Halliday from 10am to 2pm on Tues 16th May

10] UoE RSO and RGS  do widersystem checks Duration = 2 hours - Craig M. , Adam, John Chan , Anne F,  Janet and Gary from 10am to 2pm on Tues 16th May

11] Switch overnight crons back on - for overnight interfaces ( if we choose to switch them off in step 2] above) - n/a - not required - no change

12] UoE notify wider users that system is available again - Jamie Thin /  Craig Middlemass - expected at 2pm on Tues 16th May

No data migration required , outwith scripts within upgrade to v2.2.208 to move some data as part of Upgrade ( managed by Worktribe ltd) 

External Reporting (STU252) 

In line with RES064 upgrade to v2.2.218, parallel changes to the External reporting solution must be applied at the same time as part of STU252.

These include changes to the SSIS Data Transformation packages in line with the data schema changes in v2.2.218

Implementation Validation

System checks by the project team and business users - across the Worktribe application and External reporting solution.

Checkpoint for the External Reporting solution - in line with the Monthly KPI reporting cycle at the end of May 2017
