Overview

Background

Current IT portfolio management is inadequate.  Within the College of Medicine and Veterinary Medicine, there is no College wide breakdown of how the underpinning IT is configured and used, making it very difficult to benchmark as a first class IT service and to articulate a vision of where we are, and where we want to be. One of the first elements of the College IT strategy is to provide such a breakdown, encompassed in the College IT Portfolio.

While most of this information is now available, this project is to ensure that these elements are captured, collated and documented for the College to understand the route forward for a number of fundamental IT elements.

 

Scope

The scope of the project is to understand the breakdown for a number of College areas within IT.

 

Having been discussed with several staff and teams before, this is to:

 

  1. Understand the most appropriate Software Licensing strategy moving forward by auditing existing spend, and working with the 3 key functional business areas to understand where money could be “better spent”.
  2. Complete a network audit to ensure that the College users understand how the network is configured from a high level, and ensure that a suitable, comprehensive IT infrastructure strategy is put in place for our estates and buildings colleagues.  This is covered further in project MVM016.
  3. We need to complete phase 2 of the AV audit and ensure that we can buy into and be part of the annual planning round processes for the College and University.  This is covered further in project MVM021.
  4. We need to review our current desktop infrastructure estate and ensure that we are adopting best practice to free up staff time to concentrate on the delivery of project work and “adding value”.  This is covered further in project MVM024.
  5. We need a clear procurement strategy so that all College staff follow a standard model for the procurement of IT equipment and this should be published.
  6. There should be a clear communications strategy for the College, underpinned by monthly IT advice clinics led in each campus area.
  7. There should be a clear new start / induction and leavers process.
  8. We should have a clear Estates and Building campus breakdown, part of project MVM016, which highlights the key areas, contacts, meetings, key point of the year (exams, conferences, open days, generator tests etc).
