Background

 

Staff Levels are currently calculated during the HESA extract process. There is a requirement to report on and maintain this data outwith the HESA timeframes, e.g. for gender equality MI.  A new field will be added to Oracle HR & Payroll and the PIPMI Universe for this purpose.  To reduce manual input, it is proposed that this data should be automatically generated from the Successful applicant interface from eRecruitment. An API should also be produced to update existing Staff records held in Oracle. 

Scope

This project will provide the ability  to caputure and maintain staff "levels" in Oracle HR & Payroll. The preference is that the staff level will be updated or created on transfer of a succesfull applicant from eRecruitment. All existing staff records will need to be updated to hold the correct staff level against the assignment in Oracle. 

The feild will be made available through BOXI to provide the required MI, e.g. for the gender equality survey. 

 

Out of scope; 

  • This project will make use of staff grade to levels mappings published by HESA. 
  • This project will not provode mappings for levels for UE10, ECAT and OTHS grade staff (as there is no simple direct mapping rule), instead a warning will be provided via the succesful applicant interface and these records updated manually. 
  • HESA code changes to remove the need to calculate staff levels at HESA extract stage will be completed under the Staff HESA 14/15 project.
  • HESA extract code will continue to determine whether the staff level should be returned to HESA based on the business rules for this feild. 

 

Objectives

To allow  the staff level details to be recorded and maintained in Oracle HR & Payroll by July 2014. 

To allow reporting of staff levels outwith the HESA reporting from Oracle HR & Payroll by July 2014.

 

Deliverables

  1. New field in Oracle HR & Payroll to hold data 
  2. Ability to generate level data from eRecruitment
  3. API for updating existing staff records
  4. Updated BOXI PPIPMI universe

 

Benefits

University will be able to accurately record and report on LEVELS data across different surveys e.g. HESA, Gender 

 

Success Criteria

 

HR will be able to create ad hoc reports including details of the staff levels. 

All existing staff will have the correct level data recorded against their assignment(s) in Oracle HR & Payroll.

HR Teams will be able to amend the level data in Oracle HR & Payroll.

Succesfull applicant updates from eRecruitment will either amend or create the correct level data for the assignment in Oracle HR & Payroll.
