During this month the focus has been on gathering outline business requirements through consultations with specified Estates and Buildings and system users 

Achievements

• The planning phase of the project has been completed with  the Project Brief being approved by the Project Sponsor
• Project resourcing for IS Applications personnel assigned
• Commenced the Business Analysis phase of the project which has incorporated
  • A review existing processes and data
  • Organising a business requirements gathering workshop to be attended by stakeholders associated with each function
• Commenced communication strategy planning to ensure that the relevant staff are informed throughout the project.  This has led to the first communication, signed by the Estates Department director, being circulated to advise that the project has commenced and of its importance

Issues

• To ensure that sufficient time is allowed to both capture the business requirements and enable sufficient peer group consultation, it has been recognised that it will not be possible to complete the Business Analysis phase by the scheduled date of the 7th November 

Next Steps

• Prepare revised project plan to incorporate additional time for the Business Analysis and confirm revised milestones with the project team
• Business Analysis to be completed with the following tasks to be undertaken
  • Review existing processes and data
  • Complete requirements gathering
  • Requirements workshop scheduled held on 11th November
  • Review and document workshop findings
  • Complete Business Requirements documentation

As the revised project plan has still to be confirmed, and having missed the previously scheduled Business Analysis milestone, the project has been assigned a RAG status of Red.
