Overall Programme RAG: GREEN

The MVM programme started 2015/16 at a significant time for MVM, with the emergence of a long term road map for its IT Strategy.

All projects that are expected to be part of this year's programme of work, including projects not involving Applications (see College Led programme), have been added to the projects website. Only projects needing Applications resource will be added here.

Projects all on track, with just MVM007 needing new milestones now that its scope has been changed. MVM005 also needing resolved.

  - Discuss options for further work - clarity on funding and way forward

  - Outcome of CO investigation of synchronisation problem.

The UAT was not successful: new issues were reported.  There is no budget remaining to address the issues.  This is noted in https://www.projects.ed.ac.uk/project/mvm005/issues/16

As noted for the last two months:

  - Synchronisation with Outlook is failing on the business's new PCs.  The PM and developer have recommended that the MVM CO's investigate this problem.  This is noted in https://www.projects.ed.ac.uk/project/mvm005/issues/14

  - The business have requested further changes but there is  no agreement in place for funding further work.    This is noted in https://www.projects.ed.ac.uk/project/mvm005/issues/13.

RAG status set to RED because the way forward needs to be agreed before budgets can be resolved and new milestones set.

RAG Change Status is Red as the current milestones for acceptance and delivery needs to be replanned, as the project scope has changed to include a pilot of the process and documents. This is at the sponsor's request, helping to make the deliverables of highest quality. New milestones for acceptance and closure) to be confirmed once the team piloting the processs and documents has confirmed their dates. The project status will move back to Green after this.

Project has been waiting three month for this information. Project Manager wil advise suspending project if no pilot team is found, or descoping this.

Achievements in Last Period

  • Work on simplification of ITT by request of the project board, particularly mandatories.
  • Workshops held early January with MVM staff to agree supplier demonstration scenarios.
  • Business Lead requested that scenarios be expanded to include detailed checklists to allow MVM staff to agree exactly what is required to step through each evaluation; this has been agreed with Procurement, Programme Manager and Senior Supplier, but will impact on completion and approval of ITT.
  • Work on ITT now planned for completion w/c 08/02/16.

 

Issues

  • Delay to timeline due to expansion of supplier demonstration scenarios. PM assisting Business Lead to complete revised scenarios and ITT.

 

Next Steps

  • Complete and issue ITT.
  • Produce revised plan for timeline including suoplier evaluations.
  • Agree contingency plans for current platform if procurement delayed.

The project current status is RED due to delay on timeline.

MVM010 (AP56-033)

CMVM and LTW Lecture Capture Pilot

Achievements in the last period

  • As part of the planning we are completing the purchase list for all the rooms included in the pilot.  This has included contributions from HSS as well as Learning Technology Spaces.
  • The purchase list is now with the sponsor for sign off.  Getting this completed was our highest priority.
  • We have also agreed a process and order for our tasks and so we can complete the planning phase of the project within the next week.

Issues

  • Planning has not been completed yet, but we have been concentrating on our main priority which was to get the purchase list completed and signed off.  Several meetings have taken place to resolve this list.  I'm instructued that purchasing is the number one priority.
  • Obtaining a clear direction on suitable cameras for the appropriate rooms has not been straighforward.  We have a meeting with LST, HSS and the MVM Support team set for the 04th of Feb to flesh out the final details.  This delay in getting the accurate camera information is causing the Amber status.

Next Steps

  • Order the equipment.
  • Agree an installation plan.
  • Finalise planning
