Section One: Programme Commentary, RAG and Resources Update

Overall Programme RAG: AMBER  

As we move to the last quarter, most projects now have a project manager but many of them are starting late or being picked up by the new project managers later than planned.

Many requests for Dev Tech resource  in particular - are either still to be made by the project managers or still waiting to be assigned by the resource manager.

Also, we have a request for a new in-year project to upgrade PHP for EdWeb.  The days are available due to descoping of INF113 and subsequent project, but the commitment from Dev Tech is not clear.

Accordingly, sufficient risk to set programme as Amber.

  • Statement of works approved by Project Sponsor for SQL Audit - 5 days effort (3 onsite / 2 complete SQL report.
  • Database analysis [76 servers and 850 databases] identified for SQL audit
  • Comms Care SQL technician onsite activity completed between 20-22 April, audit report expected 29th April
  • Project Sponsor to complete current cost baseline for management of existing SQL infrastructure this is to be used to compare against other options proposed by XMA
  • Remaining milestones dates agreed for project

Achievements in Last Period

  • Basic dashboards for Learn built against Test (milestone not complete).
  • Face to face meeting with all key stakeholders to cover the technical and policy issues and agree whether to continue with SCOM / the project (agreement was to continue but to redefine milestones).

 

Issues

  • No major issues - the team agreed a plan to seek workarounds for the technical challenges on the project.

 

Next Steps

  • Reduce budget by 50d to 70d.
  • Focus on workarounds and more detailed responses to technical challenges, including dashboards, in May.
  • Delay writing recommendations report unil June based on getting better answers to the technical questions in May.

 

The project current status is AMBER due to the agreed changes to milestones including delivery.

Achievements in Last Period

  • At the end of April, Iteration 5 has been completed, achieving the first milestone: Pre-Requisites.
  • In total, 17 user stories have been completed (45 story points).
  • Resourcing issues in Software Dev have eased, with approx 3 days per week assigned to the project.

Issues

  • A request for additional budget has been submitted to Programme Manager.  This will be needed to continue developments into June, and to complete Release 1.
  • The main resource from Dev Tech is on leave most of May, so obtaining cover at required level is a risk.

 

Next Steps

  • Start the next phase of the project: Release 1 and complete Iterations 6 and 7 during May.
  • Obtain additional effort which will allow the project to continue into June and complete the required stories for Release 1.

 

The RAG status is AMBER as we require additional budget to continue the project into June and complete Release 1.
