Scheduling 

 

Notes from the last month. 

 

  • As reported at the last Steering Group, rollover was for Replay Scheduler started on the 17th of July. 

  • Immediately we saw nearly 25k of scheduled recordings added to Media Hopper Replay. 

  • We had development resource booked for an additional two weeks to make sure all the data was flowing as it should and to finalise rollover documentation for our Production colleagues. 

  • Everything has progressed as we would have wished and Replay Scheduler v2 is working well in Live.

  • As all of our work on Scheduling has been completed we will begin to write up the closure documentation.  

 

 

Reporting 

 

Notes from last month. 

 

  • We received the video asset data from echo360.  Upon investigation it had missing data in some of the columns.  We have been in discussion with Echo360 (Naveed) and have had an updated report sent to us on the 15th of July. 

  • As this was at the time of our deployment we have not yet had the opportunity to do a deep dive into this report.  At first glance the data looks to be in better shape that previous reports. 

  • We have all of the other data that is required.

Data and Access 

 

Notes from last month. 

 

  • As stated previously without an API or dashboard feature in Echo360 to delete users on mass we have a manual workaround in place. 

  • As with any manual process we were keen while we had developer time to automate as much of this process as possible.  In particular to make the manual process something that could be done by the service team without the need to include Production staff and the need for them to do any direct SQL queries onto the live database.  

  • As part of the development we have done within Replay Scheduler v2 we have been able to part automate a process to build a list if UUNs that should be deleted. 

  • The service team have a ‘manage data’ page that allows them to run parts or all of the overnight processes with a manual button press.  We’ve added another button that queries echo360 using the API for all users and runs them against Central Auth.  Any users not in Central Auth are placed into a table in the Replay Scheduler database.  This table is our list of UUNs that are to be deleted by echo360.  

  • This process will only run manually on the service team’s request.  It will not be part of our automated schedule of tasks.

Next Month 

 

  • This brings our developments within Data and Access to an end as we have developed as far as the echo360 APIs will allow. 

  • We will begin to write up the closure documentation.

  • We have planned out the communication timeline for the summer taking us to the end of the programme.  We will share this at the meeting. 

  • We will be running the Student Helpers initiative again this year.  The advert open and we have had over 25 applicants so far.

  • Jane Marshall (Lecture Recording Intern) will complete the phone interviews and prepare the potential rotas for the first two weeks of term.
