Issues and risks.

  • No additional risks.

Next month.

  • The Business Lead for the Rooms workstream will present the final phase 3 room list to the Programme Board on the 7th of May.

Scheduling

Notes from the last month.

  • At the last Steering Group the features to be developed for version two of the Replay Scheduler were agreed.

Development

Notes

Small number of bugs and improvements to administration.

These were highlighted during the January Steering Group and did not impact the running of the service.

CO/CS able to add users.

Broadly supported.

Show me my courses

Broadly supported.

Improved room management in the admin section.

This will simplify the process of adding rooms to the scheduler service and create an ‘inactive’ room list instead of removing them entirely from the system.

Adding large numbers of users (Super Admin)

With requests from some schools meaning up to 200 users need to be added at one time we need an easy way for the support team to do this.

Automatically linking between VLE and Media Hopper Replay

There is a dependency on Learn Foundations.

An improved audit screen for super admins.

Providing the ability to search actions against date and time rather than last action only.

An audit trail for CO/CS (Desirable)

Some feedback comments have requested a ‘who made the last change’ audit line is added to the course and schedule level pages.  It may be simpler to have an audit page for courses/schools.  We will investigate.

  • As noted in the notes from our previous meeting this development list and the reasoning for developments not being chosen have been submitted to the Programme Board as electronic business.
  • The project team are moving forward under the assumption that the development list will not change now.  That said there has been feedback on the recommendation to not develop a display only option for Phase 3.

Issues and Risks

  • No changes.  The risk against not providing a display only recording facility remains until the feedback is discussed at the Steering Group.

Next steps

  • Development of the additional features.

Reporting

Notes from last month.

  • The Power BI Gateway has been opened through with updated firewall rules.
  • We are meeting with the Service Owner for PowerBI (Apps Service Management) to discuss the next steps on the 2nd of April.  We will report to the Steering Group.
  • Echo360 sent through our asset report.  Upon examination this did not contain all of our data as promised.  This has been acknowledge by Echo360 and we await our updated report.  In the meantime we can use the report they have provided to start the end of year report design.

Issues and Risks

  • No new risks.

Next Month

  • Using last year’s End of Year report as a template, draft the design of this year’s report.

Data and Access

Notes from last month.

  • Toward the end of March Echo360 provided information on their development roadmap.  They are currently developing ‘Bulk Admin’ features which can manually be actioned by administrators from the admin dashboard.  These are expected in Q3/Q4 of this year.
  • Echo360 then expect the ‘Bulk Admin’ features to be accessible via the API endpoints in Q1/Q2 of 2020.
  • Currently, administration of users is done on a one by one basis within the administration dashboard.  Although our access to the service is controlled via the VLE and Single Sign On we will require the bulk administration features to handle deletions in a manageable way for the service team.

Issues and Risks

  • The risk presented at the last Steering Group of no API to handle user details remains and the information we have from Echo360 will be discussed at the Steering Group.

Next Month

  • Continue work to ensure we have appropriate plans in place for user administration, and that those plans mesh well with our deletion of content plans.

Transfer to BAU

Notes from last month.

  • The Benefits Realisation workshops have been gathering momentum and two more have been planned for the w/b 01st of April.
  • Remote Support technology is being adopted by Learning Spaces Technology.  The Media Hopper Replay service team are also going to look at this technology.

Issues and Risks

  • No additional risks or issues.

Next Month

  • Preliminary discussions on our start of term processes will take place.
