Team Meeting 28/11/13

Provisioning
We would like to sign off the provisioning design next week. Ross and Donald to get draft design to Ana and Adam by Tuesday so that they can comment before sign-off, as they will be on leave later in the week.
Migrations of pilot users
Progress so far:
1. Techman migrations
These went well. Largest mailbox was David Smyth's, finished 95% migration at 4am. Subsequent completion took less than an hour for all 4 mailboxes. Mail was held at relays. Stephen captured user experience. Checked users could all connect. David was creating new folders in between suspension at 95% and completion but all went well for him.
2. Appman migrations
Stefan has volunteered appman as a next group.
Donald circulated a guide to using the migration scripts. Ideally we will reduce this to a simple list of steps to follow.
Service management will carry out pilot migrations, staring the migrations on Friday and suspending at 95% Devtech assistance will hopefully not be needed but SM will check that devtech are available when planning migrations, just in case. Alister stated that UNIX needed to be alerted well ahead if we want to hold mail at the relays.
3. AD permission box
Morna noted that the "don't carry over user permissions" box in the user's AD setup needs to be tested to see if this must be ticked/unticked at migration. It is suspected that this caused an issue when Pride was migrated. Alex agreed to add this to the test plan if what to look for is documented. If this is an issue, we can investigate if -and-how to change AD permissions before migrating users
4. Staffmail Users

AD contact objects to be used for staffmail users diaries.
Donald will amend migration script accordingly and put into source control
Reprovisioner option will then have to check AD contact. This to be done in powershell (DONALD)
Calendars/AD groups
John has been experimenting with this but needs to do more tests. He is hopeful that the groups will have propagated by tomorrow. If this approach doesn't work then we'll need to open up subject/location for all users.

Default user sharing to allow offsite-onsite views of subject/location will begin on day of main migration.
TEST Infrastructure
Salford will be working with Donald next week. (3-5 Dec). Donald will contact the consultant on 2/12/13 and invite him to log in to see that all is ready - or not.
User Guidance
Alex stated that he has arranged with USD to run through a series of "user experience" tests with carious clients to record the likely user experience post-migration for users.
Alex noted that Surrey had offered to share their user documentation with us. Morna will get in touch with Surrey about this.
OLAs for new services
Production need to know what they will be expected to do to support these new services and production staff must be trained up if needs be,
Morna did not attend the meeting with USD, Simon and Stefan so she will ask Neil Bruce what was agreed.
