Achievements in Last Period

  • QM have now resolved issues on Test and Live preventing final testing and verification.
  • UoE and QM have put together a checklist of points to review in order to agree whether to proceed with the live switchover (currently pencilled in for w/c 22/07/19). 
  • Online training scheduled for w/c 08/07/19 by QM.
  • Follow up call with QM on 04/07/19 to review the checklist for Go / No-Go decision. This call will also provide UoE with the detail to schedule service alerts and bring the change to GoCAB.
  • SSO verified as working on Test, although an attribute needs to be changed - this change is pending with ITI. This issue was resolved by DevTech.

Achievements in the last period

  • Terminology glossary shared with DRPS - Meeting held and agreement to include 3 terms into the DRPS Glossary gained;
  • Continued user experience activity and engagement ongoing;
  • 10 x Student helper joined the Learn Foundations team to support with the migration work stream;
  • 1 x PhD intern offer sent out – offer accepted.  Due to start in July;
  • Continued focus on training requirements for users;
  • Implementation plans shared with Phase One Schools with 2 x Schools signed off and migration completed;
  • User experience and playback session for Law completed;
  • UX playback session for the project board completed;
  • School templates have completed UAT and roll-over successfully completed on W/C 10th June;
  • Training Programme being created and due to be signed off;
  • Checklist prototype to be signed off;
  • Automation work stream to be defined and planned for Phase Two;

 

Issues

  • Loss of 1 full time member of the team has had an impact on the project and subsequent timescales - the outstanding work load is currently being split amongst some of the remaining team members;
  • Automation work stream slipped into Phase Two due to resourcing availability as a result of the Phase One deliverables which need to be delivered before automation can be undertaken.  This work stream will be defined with support from the College Learning Technologists once roll over has been completed (circa. June/July);
  • Template/Checklist and Terminology milestones slipped as a result of the additional work required on the template.

 

Next Steps

 

  • Phase Two plans for the template, checklist, automation and terminology work streams to be detailed;
  • Continued user experience activity and engagement ongoing;
  • Continued focus on training requirements for users;
  • Continued School migration and mapping;
  • Phase Two to begin the planning stage;

Project is currently being reported as AMBER due to the loss of 1 full time team member. This has impacted upon time as all outstanding work is being absorbed by other team members which has caused slippage to occur; however, the project team have recruited 10 x student helpers across the summer months to support with the migration work which has temporarily filled the current resourcing gap.

  • Build work on BI Data feeds in progress.
  • Test migration configuration and testing complete.
  • UAT of Test migration environment completed successfully.
  • Go/No-Go meeting held for the project, high level of confidence in delivery of the project in July. Decision by the project team to go ahead with project deployment to live in July.
  • Updated Comms created and circulated about downtime and go-live dates. Link to project wiki for details of comms.

Achievements in Last Period

  • Moodle source code integrated into GIT and Bamboo. New process now in place for deployment through Dev / Test / Live.
  • UAT completed with no emergent showstopper issues.
  • Acceptance milestone provisionally signed off in team meeting 27/06/19 subject to 2 emergent issues being addressed; one was related to a cron loggin error (root cause identified and resolved 28/06/19), the second was related to intermittent performance issues on the Test platform: DevTech have spent time investigating the performance issues and are confident they are not related to changes introduced by upgrades to Moodle - this was discussed by a sub section of the project team on 28/06/19 and agreed that if no other issues emerged then the deployment would continue as planned on 02/07 with the knowledge that it could be rolled back quickly if necessary.
  • TAD updates to be completed before DSOR.
  • Deployment milestone completed successfully well within scheduled outage window on 02/07/19.

Achievements in Last Period

  • Planning milestone rescheduled to 28 June and approved by WIS.
  • Business met with project manager and DevTech and resource coordinator on 27 June. 10d effort scheduled between 1 July and 28 August to cover TAD creation, SSO investigation, build and go-live of LinkedIn Learning. Note that go-live date is subject to confirmation by LinkedIn Learning.
  • Latest project status is DevTech resource commencing TAD and making contact with LinkedIn Learning technical team. Developer booked to investigate reporting function; awaiting reporting requirements from Jenni Houston.
  • At this time the business have stated that the LinkedIn Learning authentication should be completed by end of August and the business have stated they can accept the reporting function to be delivered by "September or October".

Issues

The primary issue the project faces is the late engagement by the business. The business have been advised these delays endanger the timely delivery of the LinkedIn Learning service. 

The previous issues in the last report have been mitigated however with the required initial information only just being supplied and with DevTech resource only starting to investigate and yet to make  contact with LinkedIn Learning at time of writing,  timescales remain a primary concern and mean the project will be reported as red on Time category. 

Additionally, planned dates are also subject to confirmation by LinkedIn Learning. 

Finally, the continued situation of zero contingency in the DevTech resource pool remains a concern and means the delivery of the LinkedIn Learning switchover is at increased risk.

*Business timescales create a risk due to resource availability (hard to determine without more technical information).

Two new risks  have been raised:

  1. Availability of Business Lead       
  2. Availability of Development Technology and Software Development resources.

 

Next Steps

  • DevTech will commence TAD writing, review SSO documentation and make contact with LinkedIn Learning technical team w/c/ 1 July.
  • DevTech to determine feasability of UoE milestone dates with LinkedIn Learning.
  • Brief will be finalised by 4 July.
  • Reporting requirement will be supplied by business to software development resource.
  • Brief will be circulated for sign-off 4 July.
  • Project manager will arrange for estimate days to be transferred to next financial year.

 Project status is Red on Time due to the fact DevTech have not - at time of writing - made contact with LinkedIn Learning and therefore do not yet know if our timetable will work for go-live.
