- Statement of Works was signed off by LTW
- Agreed week beginning 28 May to move into TEST once VM machines were available and DevTech arranging availability of IT Windows team to support the move into TEST and the upgrade
Issues
- Load balancer work was delayed as the call was closed after the unregistering of the DNS instead of returning to ITI and DevTech had to chase it up. DevTech say that this work is now complete
- ITI’s reluctance to commit to any timescales meant that we didn’t know when machines were to be ready for TEST, we missed milestones and could only plan the TEST install once DevTech told us the machines were available. With hard deadlines this is frustrating for project planning.
- It is really difficult that any discussions with ITI have to be done through DevTech. As a PM I would like to be able to control planning better without that third party step.
- QMP was due to deploy on 11 July. However database patching is happening on the same day so we needed to move the deployment date. We also needed to fit in with the other LTW systems deploying at the same time so a revised date was agreed with LTW as 16 July
- This delay has pushed 4 days into 18/19 financial year
- DevTech developer was off sick and PM did not know. PMs really need to be informed when resource is not available at crucial times. This meant that the information required by QMP for the install wb 28 May was not available so the install was missed. We are now in talks for a different date and hopefully will be in the same week. There should be enough lag in the plan to handle small delays but PM will monitor to ensure the delay does not stretch out.

- Second attempt at upgrade to v6 to take place with Test and full migrations
- TEST signoff
- LTW documentation tasks to start when TEST signed off
RAG Commentary: Keeping project at AMBER as missed upgrade in TEST and second date not agreed yet. (due to DevTech developer off sick and crucial information for the upgrade not conveyed to QMP. PM not informed developer off sick so could not arrange back-up.)
UPDATE 6 JUNE 18: AMS requested that project be moved from AMBER to RED given there has been more slippage in delivering TEST that this may begin to have an impact on LTW resource conflicting with other projects

Achievements in Last Period
- Moved into TEST on 2 May and Integration testing and UAT started
- Developer has created a healthcheck that reports back on all 6 servers – this can also help Moodle
- LTW released the building blocks owned by other people to test e.g. ECA, Tophat and so far are working okay
- DevTech updated rollback plan
- Decisions
- At team meeting on 15 May it was agreed that as we are not changing anything we will not need DR testing and confirmed that resilience is testing by doing rolling restarts. This is a manual process.
- On advice from DevTech at team meeting of 21 May we do not require to do any load testing as this is a minor upgrade. There was concern that there was no load testing last year when the upgrade moved to a project last year but the team has agreed that benchmarking can be carried out this year based on analytics
Issues
- There was an issue with the 2 new servers KB3T and AT3T not connecting – looked like they had never been working. DevTech developer rebuilt from scratch and they are now working. However there still looks like there is a possible firewall issue which developer is following up on.
- Deployment date had to change: was 3 July now 17 July - LTW discovered that progression results are being published on 3 July meaning that students will need access to Learn on that day to check their grades, results etc. Plus Medics are having resits on the 10 July and there is database patching on the 11th that we should avoid so the next best date of 17 July was agreed by LTW.
Next Steps
- TechMan to help DevTech with database backup
- Integration testing and UAT to be completed
- LTW confirming pre and post conditions for implementation plan then PM will submit proposed delivery to GoCAB
- LTW documentation tasks are well under way and will be completed this month
