Report by Colin Watt for February 2017

Achievements in Last Period

  • Civitas onsite 27 Feb
  • Kanban reviewed at team meeting 24/02. Plan to be revised based on progress and following meetings with Civitas 27/02.
  • Progress on Data Validation; Digital Education looking more solid but issues raised mean we want to look at more programmes (<5) to be sure that the model is scaleable before signing off.
  • Progress made on definitions; Civitas working on this and sharing with Stephannie and Lesley.

Issues

  • Data Validation not yet signed off (see above); Civitas accept the need to test the model against other programmes.
  • Turnaround time is an issue; Civitas have agreed to the proposal made to them that UoE and them dedicate time in a focussed few days period during March and we are working with them to confirm availablity to get the data validation completed.
  • Project Board has had to be moved due to diary conflicts; the work on the paper for KSE is to be presented at the rescheduled PB 27/04.

Next Steps

  • Data Validation complete by end March.
  • Civitas onsite during March (dates tbc).
  • Deep dive into further programmes during March.
  • Recommendations from Dragan and Sian.
  • Paper for next KSC meeting to be completed ahead of Project Board 27/04/17.

Report by Colin Watt for Iain Moore-McLaughlin for February 2017

Achievements in Last Period

  • No progress; Project Sponsor has advised that there is likely to be no further progress on this initiative until a decision is made on direction; Project Sponsor has contacted Karen Osterburg to agree whether any progress can be made otherwise the expectation is that the unused project days will be returned to the programme; a decision on this is expected ahead of the March TEL Programme meeting.

Issues

  • Project may be subsumed into Service Excellence programme and may cease to exist from an IS perspective (See recent issue statements).
  • Responses from Service Excellence Programme are delayed. Sponsor is discussing the situation with Director of Learning and Teaching to establish best way forward.

Next Steps

  • Await feedback on the above.

Report by Sue Woodger for February 2017

Achievements in Last Period

  • The project priority was changed from P2 to P1
  • Risk meeting held with project team on 17 February
  • At end of planning milestone confirmed that Timetabling would be done completely separately as dependent on Euclid rollover and was added as a Should Have to this project so it does not hold up delivery of 4 building blocks that come under the TEL043 project
  • The upgrade is complete for Dev. Just need agreement for when to move it to Test.
  • Two building blocks are working in Learn after upgrading to latest version of Spring

Issues

  • End of planning was rejected by WIS on 6 February as they thought the costs were too high as they were only 15 days last year. This year however it is a project with additional work over and above the Learn upgrade. PM consulted with Iain Fiddes and resubmitted with costs broken down and was approved by WIS on 17 February.
  • The Learn upgrade itself was delayed by a week while developers worked to resolve issues in the Dev environment before the Learn upgrade itself could be fully completed (See Piccl 4). This also delayed the start of the Building Block work. The developer has been working locally on the BBs but now needs the Dev environment to continue. This should not affect the overall Build milestone of 10 April.
  • Issue with the cumulative patch. It is unsure whether it is for this version of Learn and LTW are following up with BlackBoard. It can be easily applied at any time after we get a response from Blackboard.
  • Two building blocks are not working in Learn after upgrading to latest version of Spring. They work in previous version and developer is investigating to find out the cause of the issue.

Next Steps

  • Resolve Dev environment issues
  • Complete Learn Upgrade and Building Blocks upgrade

Report by Colin Forrest for February 2017

Achievements in last period

  • An initial meeting was held with the Service Manager for PebblePad to cover the requirements of this project.
  • Mari Cruz Garcia Vallejo has been acting as the project manager for the upgrade, preparing the project timeline and plan. Mari Cruz was off at the for the initial meeting and a catch up with Mari Cruz is scheduled for the 09th of March.
  • Mari Cruz has already established the non-technical tasks and workload related to the upgrade and these will be included in the brief for sign off.
  • A planning meeting has been arranged.
  • June the 20th has been agreed as the upgrade date for PebblePad.
  • The upgrade will not impact any of the databases.  It will add front end functionality and an updated style.
  • The service is not hosted by the UoE so simplifies the technical challenges within the project.

Issues

  • It should be noted that this is a compliance project with a fixed delivery.  Any delay to the upgrade risks an amount of reputational damage for the University.

Next steps

  • Finish planning and analyse our TEST environment to establish what preparations and tests are possible using this environment.

Annual Moodle Upgrade

Compliance

RAG Status: GREEN

Report by Colin Forrest for February 2017

Achievements in last period

  • An initial meeting with the Service Manger to establish the requirement for this year's upgrade.
  • We are moving to 3.2 from 3.1.  This is seen as a lower risk move that should not require a change in infrastructure or deployed environment (such as PHP version)
  • The brief has been drafted, along with the plan.
  • The Service Manager has drafted the BRD.
  • A planning meeting has been arranged.
  • Part of the work this year will be to develop a CSS theme for Moodle version 3.2.

Issues

  • Although timing is critical with this compliance upgrade of Moodle we have the documents in place to push forward as is expected.

Next steps

  • Sign off planning and update DEV.
