Achievements in Last Period

  • Revised plan agreed following project board 12 September and approved at project board meeting of 18 October
  • Civitas onsite 24 and 25 October holding meetings on data validation and insights work
  • Meetings have been set up to speak to the ODL programme leaders to look at the Civitas tools and data model.

Issues

  • We are currently investigating an issue with the encoding of the Student Systems anonymisation algorithm. It is not a trivial task to reverse engineer it but since everything is encoded using the same formula once one is cracked, everything is cracked. If you were to get hold of one 'encoded number':'original value' pair that would make reverse engineering the formula much easier. However it is difficult to say how easy or otherwise attempting to find the formula with brute force without any starting points would be. The concern is not about Civitas unscrambling the data more what would happen if the data fell into a 3rd party. Apps developers will advise on the best encoding standards in time for the next extract to be run.
  • Rerun of the extracts was originally in for beginning of November so that Lesley and Steph could use the validated data when meeting with ODL programme leaders. However the turnaround time required by Civitas once data validation was complete at the end of October meant this could not be done for November. Also running another extract in November could change the data that Steph and Lesley were already looking at to discuss with the tutors. Plus there would not be a lot of additional data in for 16/17 in November. It was therefore agreed that we postpone the rerun of the extracts until January which will allow Steph and Lesley to conduct follow-ups and give us a full set of semester 1 data. This will also allow the additional fields to be included. Steph and Lesley will conduct their investigations based on the current data in Illume.
  • It was agreed at the last project board that we add the following fields to the model:  applicant data, finance source and age range. However due to the complexity of extracting these additional fields we have split this strand out from data validation so that the data validation can be completed by the end of October. The expected date of delivery of the additional fields has been extended to the beginning of January.

Next Steps

  • SITS validation to be completed by 31 October – Lisa Dawson advises on track
  • Technical Architecture work to be revived in November under the Framework for PII
  • LTW and Student Systems to work with ODL programme leaders to investigate the insights to be gained from the Illume tool. These investigations will look at where non-anonymised data adds value, investigate data about the tutor cohorts and will document relevant use cases and findings to present to the Project Board in December.

  • Future of project being considered by Barry Neilson and Melissa Highton for inclusion in Service Excellence programme.

Issues

  • Project may be subsumed into Service Excellence programme and cease to exist from IS perspective (See PICCL).
  • Responses from Service Excellence Programme are delayed. Sponsor is discussing the situation with Director of Learning and Teaching to establish best way forward.

Achievements in Last Period

  • OLA updated.
  • Deployment successfully completed 27/10/16.

 

Issues

  • Move to Live was scheduled for 20 September but a last minute discovery by LTW that an assessment was taking place 21 September to 4 October meant that we put the go-live back to 5 October. Further iissues with the LTI connection meant deployment was again delayed until 12 October. Then on 12 October it was discovered that there was another issue with the LTI connector. This was not the same issue as previously and it was acknowledged by business lead that it had been missed on Test. Business lead was then on holiday until 18 October. It was agreed on his return to deploy on 27 October as an assessment is running until 26 October but WebPA is free after that.  Revised milestones piccl submitted to wis for Deployment on 27 October and Closure on 17 November.
