Section One: Programme Commentary, RAG and Resources Update

Commentary

 

The STU programme is AMBER , as 2 projects are AMBER.

The STU programme should move back to GREEN next month, as progress is being made with both STU265 and STU266.

For STU265 , the contract discussions with supplier Fivium are expected to conclude in Jan , and then the implementation is being re-planned for the March to July period working round availability of business resources in the USG Records Management team

STU266 should move to GREEN next month as the draft Options appraisal for UG & PG Degree finder has now been published to the project stakeholders ahead of the end of Jan deadline for funding bids to the next 3-year planning round

 19 days left in balance row for 2019-20, this is contingency budget for in-year compliance , if not needed by  Mar 2020, the days will go back into the ISG Core compliance funding pot for another urgent core work to be completed by July 2020

STU260 CAM  Degree Finders - Options Appraisal

  • Fix for PG search deployed to LIVE in January to avoid the risk of deploying before the Christmas break and no one available to fix any issues.
  • Closure report has been circulated, those who have replied have approved the closure.

Achievements

  • Progress with Procurement and Fivium regarding contract review and sign off.
  • Work on overall implementation plan in conjunction with Fivium to schedule resource.
  • Fivium drafting service order form to detail their updates to the standard eCase product.

Issues

  • Delay in procurement process is delaying fully engaging with Fivium in the technical aspects of the transition process.  Project has now been re-assigned to our third UoE procurement contact this year.
  • Overall project delay will mean that the milestones need to be revised once implementation plan has been agreed.
  • Key Records Management contact is moving on from UoE.  Project replacement has been identified but will not be available until mid-March at the earliest. 

Next Steps

  • Review Fivium service order form and confirm required updates to align eCase with Scottish regulations.
  • Progress with Procurement and Fivium regarding contract review and sign off.
  • Work on overall implementation plan in conjunction with Fivium to schedule resource.
  • Engagement with Fivium regarding case migration process to the replacement eCase.
  • Reschedule project milestones.

Achievements this period

  • A workshop was held in which answers were provided by the business that brought clarity to what is expected when it comes to the costing of future work.
  • Access to a 3rd party Content Management System, Gather Content has been provided to the Lead Architect. Availability of this tool was not previously known and is presently being considered as more favourable to that of sole use of Django or Drupal.
  • Early assessment is that future work could make use of APIs to join with the golden source of data with Django as a tool supporting the back-end repository and front-end presentation layer. 

Issues

  • The Lead Architect has an extended period of holiday following the Christmas break which could put the delivery time-line at risk. 

  • No forward planning to compensate for loss of the Project Manager in January should project extend beyond this period.

Next steps

  • Contractor extension is being progressed and agreement to prioritise technical work to support the project and planning timeline.

  • Options appraisal paper to be produced for review.
