Report by Geoff Cropley for August 2018

Achievements this period

Budget for the new academic year has been secured amounting to 20 days.  This is great news and allows the team to continue to develop the minimal viable product (MVP).  Technical issues with Funnelback search engine are ongoing  and have prevented real progress during August.   This was expected as securing time with the vendor had been planned for later in August.

Following a re-plan, a change request was approved by WIS to amend a number of milestones and the revised deployment date moving to 31st October 2018.

Development Services resource have confirmed that in the event that changes are required to the search widget, these could be accommodated following Funnelback work, during September.

Student Recruitment  are continuing to drive data and standards development and also driving forward with guidance and policies to improve the quality of staff profiles to enhance the supervisor search journey and ultimately the data quality.

Issues

  • None

Next steps

  • Resolve outstanding technical issues with data retrieval from the Funnelback search collection.

Report by Andy Stewart for August 2018

  Achievements in Last Period

  • Tender Process
    • Four  bids were received in response to the tender
    • All suppliers have passed the mandatory question sets
    • Accessibility review incorporating written responses and application review have been completed
    • The written responses to the Desirable questions have all but been reviewed
    • Supplier demonstrations have been held by all four suppliers
  • The project has been re-planned to incorporate the additional 5 weeks to complete the tender process (meeting scheduled with the project sponsor scheduled for 6th September to review)

  Issues

  • One supplier has supplied two sets of different answers to the Desirable questions - and this has still to be clarified.  The Procurement lead is currently seeking clarification
  • The tender process is taking longer than initially anticipated due to the following
    • Diary congestion delaying the functional and usability review of the four potential suppliers - this was partly due to not knowing how many suppliers would require to be evaluated
    • Requirement to re-plan all the procurement consensus meetings until the functionality and usability review
  • A delay of around 5 weeks is anticipated to complete the tender evaluation process

Next Steps

  • EQIA - to be completed
  • Determine preferred solution after
    • Completing   tender quality review
    • Completing  tender cost review

The project has been assigned a Change  status of Amber due to the projected 5 week delay in delivering the solution
