Commentary
Overall the STU Programme is RED because it is now confirmed that several projects will not complete within 17/18 and several projects are RED or AMBER at this time.
STU252 - RED - to be suspended
STU260 - AMBER - milestones likely to change during planning process
STU262- RED - Additional budget approved, delivery milestone delayed as testing not yet completed and support arrangements not yet finalised.

This project is to undertake the work noted in this proposal. The proposal estimated 10d of work, but it is now clear that this budget is insufficient enough to deliver a standalone solution for open wifi during open days,
ITI planned to deliver open wifi using the JISC pilot service but this has not been achieved. Alternative solutions have been estimated to be of significant cost and there is no identified source of funding to deliver these, hence the project's status as RED. The issue has been escalated to senior management.

Achievements in Last Period
- Project on hold awaiting decision from Business lead re. proposed scope change
- Business lead has agreed Project should be formally suspended while the RIS team evaluate the use of Power BI against the raw BI Data extract as alternative to the STU252 Star schema and BI Suite Universe
- Alternative technical solutions to apply org unit permissions reviewed - none are operationally attractive
- Other project tasks on hold , pending outcome of discussion on scope
Issues
- Open - No agreement on Scope change re. Org unit permissions
- Initial proposal of providing no org unit data restrictions have been rejected by Business lead
- Workaround explored with IS Service Management of applying row level permissions, but doesn't look like it would work for IGMM and Roslin, and complex data structures with collaborative projects with multiple budgets for each Org unit
- Open : Resource conflict in IS Project services - PM has limited time to push scope change to conclusion while focusing on higher priority Service Excellence Exam Timetabling project
Next Steps
- Propose the project is suspended until either scope change is agreed by the business lead , or project sponsor provides more funding to do some R&D and see if it is possible to complete project closer to original scope , or risk project being closed without delivering a working BI Suite universe.
- Re-plan with revised scope
- R&D to investigate other possible solutions for providing IGMM and Roslin with their own data in an easy format to report against

Achievements
- Project team believed sufficient issues were addressed by the vendor that this service went live week commencing 25th June to various alumni cohorts including 2018 graduates 28th June.
- A process flow illustrating the support available to end users from IS Helpline, Aluminati (the vendor) and Development and Alumni Services (DAS) was prepared and agreed. This allowed Project Services to engage with the IS Helpline and confirm their role and ability in supporting this service - note the IS Helpline are only expected to support with EASE login issues.
Issues
- A review of the platform by the IS Helpline highlighted a number of usability issues and a number of these are being addressed.
- Delivery sign-off is yet to be planned, which is simply a case of arranging a meeting. Project closure for 27th July is not considered at risk.
Next steps
- Define benefit realisation support that the Alumni team would like for this project.
- Plan delivery sign-off.

New infrastructure had been created by INF127, the UG & PG degree finders copied over, tested and go-live is anticipated on this new infrastructure July. This means that given the new infrastructure now has Centos 7 that PHP v5.4 will be on extended support until 2024 and Yii v1 until December 2019.
- This means STU260 does not have to complete a pilot assessment which was originally anticipated (and budgeted for) and so this project (subject to agreement) becomes a much smaller options appraisal task.
- An initial meeting was held with CAM to consider high level options for how the University may ensure support for the degree finder process beyond December 2019.
Issues
- Production Management have confirmed that a change freeze would be applied to UG & PG Degree finders post December 2019 until this functionality is replaced by Service Excellence Programme (SEP). The earliest indicated delivery for this new functionality is October 2020 but this is not a committed date. The business have advised that a design freeze during this period would not be acceptable.
- The business have also advised that there are 20+ support calls / requested changes and that it is expected that over the next couple of months or so SEP will generate new requirements for the degree finders.
- To upgrade Yii v1 to Yii v2 would require a rewrite of both degree finder applications. UG & PG degree finders are significantly different and rewriting them would be two large projects. The business have advised that due to the number of required changes, including durable medium below, a like for like rewrite would be of no benefit. Additionally any re-write would be in a Python and not PHP with a Django framework and not Yii.
- A robust long term solution to the Consumer Protection Law durable medium requirement is a high priority.
Next Steps
- Complete Brief that will propose that STU260 is to produce an options appraisal.
RAG Commentary
It should be noted that although this project is rated amber (see comment below) the work has highlighted a significant risk that UG & PG degree finders will be out of support Dec 2019 and replacing this functionality will be a large piece of work either as a project or part of SEP. Time is rated amber and therefore so is the project as end of planning is delayed.
