Section One: Programme Commentary, RAG and Resources Update

The Student services programme has  now started new projects for 12-13, incl STU226, STU227, STU228 for Timetabling and STU229 for OLL.

The agreed STU programme baseline budget for 2012-13 is 1520 days.

** AP23-041 (Replace OLLIE and CUPID) now expected to be delivered over 18 months - hence an initial estimate of the split in effort between 2012-13 and 2013-14 has been indicated - this is just a provisional estimate - the actual estimate will be refined as the options appraisal (STU229) progresses

Plan

This is the pot of remaining OLL funded days to deliver replacements for OLLIE and CUPID, an initial 60 days have already been assigned to STU229 for the options appraisal and IS Apps work assocaiated with enabling OLL credit students to be keyed into EUCLID.

Currently it is likely that OLL will wish to explore the options of buying in a 3rd party system , which will likely require future procurement and implementation projects to be funded from AP23-041, this activity is likely to be spread over 18-months. It is also likely that the requirements for OLLIE and CUPID will be dealt with separately , but that is dependant on the outcome of the STU229 Options Appraisal

One issue with load test of Web Room Booking (WRB) under prolonged load - escalated to Scientia - on short term if this behaviour is found in live running - it can be resolved by a re-start of WRB, and does not impact the Web Timetables

Achievements in Last Period

ELTC are continuing with testing on the Test virtual machine. They have also purchased a couple of additional modules which have been installed on both the Test and Live VMs and currently being tested.

A Handover meeting was held with Tech Management to ensure the VMs would be supported appropriately when the project goes live.

A draft SLA has been distributed, to the relevant IS team members, by Apps Management. Comments have been fed back to Apps Management

Issues

None

Points to note

ELTC have decided to continue testing on the Test VM rather than move to the Live VM - last month they had hoped to move to the live machine in order to avoid duplication of data entry but they do not feel that they are yet in a position to do this.  The Live VM is prepared and we are awaiting the go-ahead from ELTC to move to it.

Next Steps

ELTC are to proceed with their testing on the Test VM

Report by Anne Mathison for August 2012

Achievements in Last Period

  • Acceptance Testing was signed off
  • An urgent fix was required in Live for an OLL student. The fix was completed in HESA  for this student

Issues

  • The duplicate OLL Student was resolved in the HESA tables. This was resolved during late August.

Next Steps

  •  As data and fixes for HESA continue to be clarified the return continues to be run regulary to see if HESA find it satisfactory or have identified any new problems.
  • Although OLL are able to complete a clean  OLL return at present, it will depend on feedback from HESA how many times the HESA combined return has to have data and /or changes to pass the HESA validation as HESA amend it.  The combined return cannot be committed and the project closed  until the combined return has been signed off by HESA. This means that the project will remain open until that time (which could be as late as the end of October).
  • The return has been committed and we are now waiting to see if our explanations are satisfactory, if not we will have to run the return again

RED

Report By Morna Findlay for August 2012

This project has RAG status RED as due to existing  issues with the existing DEV and TEST environments  which were not identified before this project began, agreed milestones were missed. In order to repair DEV and TEST, two days was added to the project budget, which is now 28 days.

The Project sponsor has been replaced and the Project Manager has met with the new Project Sponsor and expects to agree new milestones in the next week.

 Achievements in Last Period
  • Build Review 3/8/12
  • Repair of existing DEV and TEST environments
Issues
  • The existing DEV and TEST environments were found to be in need of repair as an issue which had arisen as a support task was  fixed only on LIVE and not transferred to DEV or TEST and the project team was unaware of this.
  • Project Sponsor left the university in August. The Project Manager met with the new Project Sponsor on 4./9/12

Next Steps
  • Agree new milestones with project sponsor
  • Upgrade TEST
  • Carry out UAT
  • Upgrade LIVE

AMBER - Scope and estimates still to be nailed down

Report by Jamie Thin for August 2012

This projects builds on the initial delivery from STU215.

Project is in planning stage. There are has been recent dialogue to define the critical path across the Timetabling programme and this has resulted in some re-planning to align STU226 with the all the critical elements to deliver personalised timetables.

Initial budget for IS Apps for Timetabling in 12/13 is 640 days effort, of which 36 days have been spent to date on initiation and planning.

Two further projects have now been split out of STU226 : STU227 to deliver the Upgrade to v3.2 Enterprise and STU228 to deliver the Interfaces - this has allowed IS Apps to deliver more , more quickly and to allow the well-defined tasks to be started now.

The provisional budget allocations are now :

STU226 (personalised student timetables) 345 days

STU227 (v3.2 upgrade) 70 days

STU228 (interfaces) 225 days

Estimates for this future work will be refined as initial analysis and design work progresses - at this stage during planning estimates may only be accurate to +- 20%.

  • Achievements in Last Period

Meetings with MVM , Accommodation Services, Learn and SACS to better define scope and start business analysis of requirements

  • Issues

Request for scoping project to investigate possibilities of providing Timetabling data to EUCLID to enable clash-checking at point of course enrolment.

AMBER  - dates slightly different from those sent to Project Board & resources to be confirmed

Report by Donna Cruickshank for August 2012

Achievements in Last Period

A draft plan for the 3.2 upgrade has been issued and resources assigned for the Analysis, Design and Build phases - have not planned past this at the moment due to some uncertainty with the duration the build may span and the availability of the resources. A local instance of the upgrade has been completed which includes the reporting database. This is currently being documented.

Issues

The Reporting project will now be tracked under Project STU227 - an allocation of days needs to be transferred to cover this.

Next Steps

Install the Upgraded version on the Dev server and test.

Progress with the planning for the Reporting Tool.

Report by Craig Middlemass for August 2012

Achievements in Last Period

The project has been initiated, after some discussion there has been a move to reorganise the project to the Critical Path (i.e. link deliverables to a major programme objective) as such there is a need to replan and rescope this project.

Issues

  • Alignment to Critical Path will involve replanning
  • Potential for Kx link to be de-prioritised could impact on the MVM room booking interface as there was the intention to use a similar solution to the Kx package

Next Steps

  • Gather estimates and plan the reorganised project
  • Commence analysis of the various interfaces that will be delivered first

Project Title OLL HESA 12/13

Funded

Report by Jamie Thin

This project was withdrawn on 03-Aug-2012.

For 12-13 , OLL will key OLL credit students into EUCLID , so there is no future requirement to do a separate OLL HESA return
