Report by Colin Watt for Jul 2019

Achievements in Last Period

  • Project Brief in draft.
  • PM, Business Lead, and Project Sponsor have continued to push for a decision from Edina; Edina's position was that they could not make a decision until talking through their requirements with JournyX: Decision in principle from Edina and DCC to move to JournyX hosted platform providing that their requirements are covered.
  • PM facilitated call between Edina & DCC with JournyX to go through their requirements; outcome was that there appeared to be no technical or functional showstoppers in terms of moving to the hosted platform - PM and Business Lead awaiting confirmation in writing from JournyX on each point covered in the call.
  • DCC have indicated that they would be looking for a service supported by IS; Edina have not committed to this and it would not be feasible for the service to be supported for one part of the business whilst another is dealing directly with the supplier - so this needs to be resolved.
  • PM facilitated call between Edina & DCC with JournyX to go through their requirements; outcome was that there appeared to be no technical or functional showstoppers in terms of moving to the hosted platform - PM and Business Lead awaiting confirmation in writing from JournyX on each point covered in the call.
  • Business Lead in dialogue with Software Services to determine if JournyX can be purchased via framework agreement.
  • PM and Business Lead in further discussion with supplier on costs and options which are partially dependent on proposed license numbers and have changed with delays to getting a decision.

Issues

  • Project does not have budget for 2019/20. PM and Business Lead spending minimal time on project while awaiting a steer at SLT w/c 12/08/19.
  • Due to delays getting a decision from the main users, the project scope is still to be finalised, and the project brief cannot be completed.
  • Lead time to complete a migration means that although the technical work required is relatively small (hours rather than days), this cannot now be scheduled ahead of the UoE change freeze and instead will need to be planned for October at the earliest, after the change freeze is over.

Next Steps

  • Decision on project scope and timeline (if funding into 19/20 clarified), or close project.

Project RAG status is RED. Currently no funding agreed for project days beyond 31/07/19. Without a decision the formal project planning cannot be progressed, and due to the delays a migration cannot now be scheduled until the UoE Change Freeze is completed. Impact is that if there is no funding to complete the work in 19/20, the project will close and the current local platform will remain in place for a further year until it reaches EOL.

Achievements in Last Period

Issues

  • No major issues.
  • Delay to end of planning (due to focus on producing requirements with the PUG so that the time for contract negotiation can be maximised with consideration to annual leave etc.). This is not expected to unduly delay progress.

Next Steps
