- After issues with the Person Import (UHI had not included Students) this has been resolved again (recorded in Issues below)

The issue #12: UHI Person Import Issues tracked an issue with Person imports with UHI, UHI had not included their Students in the original imports and as well as rectifying more duplicates, the scripts also needed further modifications. This has subsequently been closed at an approximate cost of an extra 2 days in additional works. The Project budget will need close review as the current forecast sees a potential overspend of 12 days. This currently resides with the Project Sponsors for a decision.
Next Steps
- Complete Live Instance Sign Off (With Azure / Quickcalls Authentication)
- Support UHI with their go live / deployment
- Achieve sign off from UHI of the live environment

Achievements in Last Period
- Briefing paper outlining the only feasible options and costs circulated to SLT w/c 13/05/19: remain "as is" for an additional year, or move those who agree onto JournyX's hosted platform (depending on who remains, this may be managed as a formal service including recovery of staff costs).
- Project Team requested to discuss the options and costs with stakeholder groups to determine business criticality in each area, and explore potential for reduction of user licenses, so that a reduced cost proposal to move to the JournyX hosted platform be brought back to SLT for consideration.
- Project team completing stakeholder discussions w/c 27/05/19 and follow up call with JournyX scheduled for 04/06/19 to request revised license costs based on lower numbers, and clarify existing invoicing situation.
- A paper outlining options and costs has been produced for that decision to be made.

- The project scope is still to be determined.

Achievements in Last Period
- PM confirmed with Procurement Manager that the quickest, lowest cost, legal route to a new contract was to purchase Topdesk via Academia via an existing framework agreement.
- Project team have received quotes from Topdesk on the cost of purchasing the equivalent modules as per UniDesk via the framework agreement.
- Project team have had an initial discussion with Academia and outlined project expectations on delivery and timescale.
- Procurement User Group (PUG) established to include representation from UniDesk member institutions in reviewing and agreeing the requirements for inclusion in the contract; initial PUG meeting took place 29/05/19 with follow up meeting to review the requirements in more detail scheduled for 12/06/19.
Issues
- No major issues. Legal approach agreed with Procurement Manager.
Next Steps
- Complete project brief, milestones, estimates.
- Complete Topdesk functional and non-functional requirements for contract negotiation.
