The ESS Meetings in Calendar functions were successfully deployed to LIVE and the meetings are displayed in the Students' Office 365 calendars. A post-deployment issue has been identified which may take time to resolve, and so this is AMBER in relation to the budget.

The ESS Small Group Functions project is AMBER as the technical lead is currently unavailable and his specific input is required for resolution; this will delay the ability to complete the fixes arising from testing and UAT, and so the subsequent deployment date is likely to be delayed. In addition there was slow performance in the DEV and TEST environments in early March which delayed development progress until this was resolved.

During the mid-year review the budgets were reviewed, and some work was planned to be deferred to 13/14 for later phases of ESS Photos for Students, ESS Small Group Enhancements and ESS Functions for PGT. The estimations for the first phases of ESS Photos for Students and ESS Small Group Enhancements have subsequently increased, meaning that while the projects are within 10% of the overall agreed project estimate, more work is expected to be completed in 12/13 than was expected. This is reflected in the resources table below showing that more work is estimated in 12/13 than budget is available.  A post-deployment issue was encountered in ESS Meetings in Calendar, which is likely to increase the effort to complete the project (not yet reflected below due to holiday timing). The programme scope needs to be reviewed to determine where it is most appropriate to reduce scope to enable the budget to balance; the lowest priority project (ESS Small Enhancements) would be looked at first.

Biological Services have requested that this project be deferred to the start of the next academic year in August 2013. This project is to be deferred as planned carry-over for 13/14 during the mid-year review in January 2013. 

 

Dependencies

This is dependent on the UK Government enacting the legislation to correspond to the European legislation which came into force on 01-Jan-2013. This project cannot start until the UK Government requirements are known.

10d of the remaining 80d balance has been transferred to Research for the BRR (Biomedical Research Resources) hosting, backup and resilience parts of commercial colony/facility management database product.

The meeting planned for January with MVM to clarify what is likely to come is now expected to take place in March. The main focus is expected on MI for the rest of this year and there may also be some work assisting with a procurement exercise. Following the meeting it should be possible to identify what is required, and to be able to return this to green. Action remains with the Head of Service Management to schedule the meeting.

The RAG remains RED as it's not clear if the remaining scope can be delivered within the remaining budget and timescales.

Project aims for February were to:

  • Deploy to LIVE E#58 together with SSG005 - complete.
  • Achieve acceptance sign-off for E#7, E#60, E#120, E#59 & 77, E#93 - note these will not be able to be deployed to LIVE until March (following SITS UPGRADE). These are complete in DEV and awaiting deploy to TEST following SITS upgrade.
  • Complete development of E #64a/64b. Development complete, ready for peer test in development environment.

  • Achieve acceptance sign-off for E#7, E#60, E#120, E#59 & 77, E#93 and deploy to LIVE at same time as SSG007 Small Group Functions.

Project aims for February were to:

  • Complete Acceptance Sign-off Review in TEST - complete
  • Deploy to LIVE - complete
  • Deployment sign-off review - incomplete, see issues.
Issues
  • Following deployment an issue has been raised of some users receiving blank emails. However, it has not yet been possible to reproduce this issue. If this cannot be reproduced then we will be able to proceed to deployment sign-off review, if it can be reproduced then we may need to implement a fix.
  • The above, and the need to deploy to train, mean the project effort may go above the estimate.
Next Steps

Project aims for March are to:

  • Complete deployment sign-off review.
  • Deploy to SITS train environment.
  • Project closure.

  • Prioritisation survey results collated and phased approach agreed with Senior supplier
  • Estimates and Project Brief completed and signed off by project team
  • Further options for opt in/ opt out solutions raised; discussions held with key stakeholders and scope/ approach for Phase 1 further defined, with a likely reduction in estimates.
  • Transition to new Project Manager in progress.
Issues
  • Estimates for Phase 1 to be reviewed given potential reduction in scope agreed in principle with Project Sponsor, so milestone for completion of the Project Brief will need to be revised.
  • Approach for Phase 1 is dependent on confirmation with Card Services - discussions underway.
Next Steps
  • Confirm proposed Phase 1 approach is viable with Card Services.
  • Revise estimates, plans and scope in brief.
