Section One: Programme Commentary, RAG and Resources Update
Commentary
Overall the USG Other Programme is GREEN, as the risk of additional projects (Risk 17) has been realised, and STU262 initiated in the STU programme to address this issue. It is expected that planned essential work can be completed in this year.
USG002 - AMBER - reduced effort from IS Apps due to work on portal by 3rd Party Vendor, with corresponding new work on notifications to be estimated - current estimate uncertain hence AMBER. The risk remains for the potential that consent may need to be sought if legitimate interest is no longer a viable proposal.
USG005 - GREEN - implementation plan in progress, on track for closure Dec-17.
USG008 - RED - no issue: planning phase complete, estimate increased to 42d, budget is allocated from multi-project balance row (see yellow shaded cells in Resources table below).
RAG & Forward Look

Resources to end of August 2017
The cells highlighted in yellow reflect the work in progress for USG008, i.e. the USG008 project estimate is 42d, which will be taken from the AP78-093 balance. This still leaves 47d currently on the AP78-093 balance row which may not be used in 17/18, because the initial indications from USG008 are that 3 small pieces of work are needed in 17/18, however 2 of these cannot start until the relevant infrastructure is available in April 2018. This will be clarified during the analysis work in December.
There is an error in AP78-0109 below, there is no work expected in future years, this has been updated and will be reflected as 100d to complete this year as expected in future.

Multi-Project Balance Row USG Application, Infrastructure & Database End of Life ComplianceCompliance Planning: October 2017 Delivery: July 2018 RAG StatusAMBER |
PlanThere is a need to identify applications, databases and infrastructure which will come to the end of their working life in the next 3 years, and to plan upgrades, migrations or replacements accordingly. This project has started in October for business analysis in USG008; further work will be on a call-off basis from this balance row if a need is identified for urgent work in 17/18 during USG008. This is AMBER due to the forthcoming change in allocation from 175d to 153d for USG008. It is also AMBER as there is a potential reduction in estimate due to early indications of work required in 17/18. The expected work is dependent on infrastructure creation, which is expected to be ready in April 2018. This may limit the amount of work that can be completed in the remainder of the year. DependenciesClarity on end of life position from Production Management for each component of the architecture. Discussion with Service Excellence regarding planning and timelines for USG applications in SEP scope. |
USG Business SupportDiscretionary Planning: January 2017 Delivery: July 2018 RAG StatusAMBER |
PlanThis project is to provide a basis of days on which a call-off can be made for areas of priority for USG, in a similar manner to that of the ring-fence for the Colleges. As such there is no immediate clarity on the scope, this is most likely to be a number of small pieces of business analysis, with potential follow-on work dependent on the outcomes of the analyses. This is AMBER due to the proposed start date, as no work is yet confirmed for January. There may be work in relation to the long-term solution for Privacy Impact Assessments, however this is yet to be confirmed. DependenciesNone known. |
Clearing 2018Compliance Planning: May 2018 Delivery: August 2018 RAG StatusGREEN |
PlanThe University will likely enter UCAS clearing again for 2018 with places being available to prospective students from Scotland and the rest of the UK (rUK) The project will start in May 2018 to ensure we are ready. DependenciesDecision from the University to enter Scottish and rUK Clearing in 2018. |

AMBER - Issue - The project budget needs to be reduced because of the development work (c.20 days) that has gone to the vendor instead. Some budget will also be required for any work on the notifications/alerts that also needs to be done. This element of work is to be replanned once a possible solution is defined.
