Section One: Programme Commentary, RAG and Resources Update
Commentary
Overall the USG Other Programme is GREEN, as the expected projects are all on track. There is a potential small project with Records Management to ensure compliance for FOI that has yet to be confirmed.
USG002 - GREEN - the Information Commissioner's Office is still not yet able to answer whether the University will be considered a public body, but a strong indication has been given that HEIs can use the basis of legitimate interest. The project will proceed with legitimate interest as the working principle, and risks raised for the potential that consent may need to be sought if this should change.
USG005 - The Student Alumni Platform project is GREEN, with the responses evaluated and a recommendation made for board approval. The follow-on project of 50d for the implementation is currently expected in 17/18.
USG006 - The Clearing 2017 project is GREEN, the rUK Clearing was completed successfully on 17th August and the project is now moving to closure.
There was a project originally anticipated in the 17/18 plan for Records Management - Request Handling Monitor Updates that can actually be done in 18/19 and so is in the plan for 18/19. As a result, there may be changes needed to the current FOI application that are required ahead of the May 18 GDPR deadline. This need is currently being investigated, and may result in a small project to make changes to the current application. This may be undertaken within the STU programme.

PlanThe administration pages for the Organisational Hierarchy application run on a java applet that requires an old browser to be used. As this browser is going out of support, we require the administration pages to be revisited, and an alternative method for the administration of the Organisational Hierarchy pages. This project will determine the approach and implement those changes so that changes to the Organisational Hierarchy can continue to be made. An initial investigation has determined a potential solution, which is currently being tested. If successful this may not require a full project. Note however, that there may be additional work for the FOI application, which would require a project and would be considered to replace this one. DependenciesNone known. |
USG Application, Infrastructure & Database End of Life ComplianceCompliance Planning: October 2017 Delivery: July 2018 RAG StatusAMBER |
PlanThere is a need to identify applications, databases and infrastructure which will come to the end of their working life in the next 3 years, and to plan upgrades, migrations or replacements accordingly. This project is expected to start around October for business analysis, however this could be started sooner or later to enable smoothing of resource demand where appropriate. The status is AMBER due to the need to clarify which applications require to be reviewed. DependenciesClarity on end of life position from Production Management for each component of the architecture. A view of future work from Service Excellence would also be helpful though not essential for this work to start. |
USG Business SupportDiscretionary Planning: November 2017 Delivery: July 2018 RAG StatusGREEN |
PlanThis project is to provide a basis of days on which a call-off can be made for areas of priority for USG, in a similar manner to that of the ring-fence for the Colleges. As such there is no immediate clarity on the scope, this is most likely to be a number of small pieces of business analysis, with potential follow-on work dependent on the outcomes of the analyses. This is GREEN as the work is expected to be small, and to fit in with other work as appropriate. DependenciesNone known. |

PlanThe University will likely enter UCAS clearing again for 2018 with places being available to prospective students from Scotland and the rest of the UK (rUK) The project will start in May 2018 to ensure we are ready.
