Report compiled by Sheila Fraser (IS Apps Programme Manager)

Section One: Programme Commentary, RAG and Resources Update

Sheila Fraser has resumed her role of Programme Manager for Other SASG Portfolio Projects following return from maternity leave. Thanks to Jamie Thin for taking on this role over the past year.

The overall programme status is RED as the expected work to complete is higher than the available budget. The table below does not reflect the last approved budget, but rather that which is expected to be needed for the two projects in progress. Options on scope of projects in progress and budget will be discussed at the next portfolio status meeting.

SAS001 is RED as the agreed budget is 20d, and the latest estimate for the work required is 66d.

DAS008 is technically RED as no project manager was assigned during the last months, so milestones are past without update. However, it is expected that the project will be able to deliver the decommissioning before the drop dead date for the infrastructure as it is expected that a 2 week concentrated period would enable all actions to complete, and so the project is overall AMBER as the resources for this are not yet booked. This will be progressed in May.

Report for April 2014 by Sally Hayward

Achievements in Last Period

  • Agreement that this work will preceed ITS103
  • Completion of the brief

Issues

  • The last approved budget is 20d, however the estimate for the work required is 66d. Due to the number of days available in the programme budget there will need to be prioritisation and any non-mandatory requirements excluded.

Next Steps

  • Business Brief and Project Plan to WIS 9th May 2014

The project is currently showing a RED status as the planning phase is overdue and the scope has increased from the original project proposal. This should rectify once governance has approved the changes.

Report for April 2014 by Sheila Fraser (Programme Manager acting in lieu of Project Manager)

Achievements in Last Period

  • Re-initiation meeting held with Dev and Alumni as part of handover of portfolio manager role to Sheila Fraser.
  • Dev and Alumni have confirmed that they can now re-start work on DAS008 subject to availability of supplier ThankQ, which they will follow up. General council elections January through to mid-February time period must be avoided as Dev and Alumni will not be available for project work during this time.
Issues
  • None
Next Steps
  • Identify Project Manager and bring up to speed with current status.
  • Set up conference call with Dev and Alumni and ThankQ to evaluate current status and next actions.
  • Identify suitable time periods when the remaining work can be done - previously identifying a 2 week window when ThankQ, IS Apps and Dev and Alumni staff are all available was the most successful strategy. This must take into consideration that CCTS is now expected to be de-commissioned and replaced as part of new in-year CareerHub project (not started yet) and CCTS still to complete testing of additional changes from Applications Management.
  • PM to re-plan project, agreeing milestones and resources.

This project is technically RED as no project manager was assigned during the last months, so milestones are past without update. However, it is expected that the project will be able to deliver the decommissioning before the drop dead date for the infrastructure as it is expected that a 2 week concentrated period would enable all actions to complete, and so the project is overall AMBER as the resources for this are not yet booked.
