The Initial ESS IT Tools Project is due to deploy the final functions in October, and is due to be handing over to support in October, however a part of this may delay into November due to holidays. The small enhancements will be continued as a separate project, based on priorities from the suggestions from staff and students. The next prioritised functions agreed will also be separate projects, managed and reported within this programme as has been started for SSG005, ESS Meetings in Calendar.

The resource table below shows a 20d shortfall on AP23-051; this is due to the reduction in budget of 20d to enable the start of SSG005 ESS Meetings in Calendar, without the corresponding reduction in planned effort in the tool. This will be updated for the next reporting period.

This project is likely to be separated into a number of smaller projects.

The remaining two functions in the next phase currently agreed to be developed for the start of the next semester are:

a) Small Group Functions b) Photos (for students)

It is expected that further functions, including the rollout to PGT, will be defined during the year for implementation prior to the start of Semester 1 in 13/14. These requirements need to be clear by around December to leave sufficient time to design, build and test suitable tools.

Dependencies

For a) & b) above: Definition and sign-off of requirements. In addition: b) Completion of existing project DEI006 to point of stable code within MyEd and User Acceptance; agreement of staff to opt-out of photo display

Biological Services have requested that this project be deferred to the start of the next academic year in August 2013. This project is to be deferred as planned carry-over for 13/14 during the mid-year review in January 2013. 

 

Dependencies

This is dependent on the UK Government enacting the legislation to correspond to the European legislation which will come into force on 01-Jan-2013. This project cannot start until the UK Government requirements are known.

Achievements in Last Period

Project aims for September were to:

  • deploy the student MyEd channel changes to live (complete)
  • complete build and test of the remaining PT and SSO functions (including batch job of notification for change of PT) and deploy to live (in progress; will be completed in October)
  • build, test and release enhancements to notes as soon as they are ready in priority order (new function formatting added following core group decision on 10-Sep-12) 1. Formatting of text within notes (complete), 2. Add file (in progress), 3. Flag as deleted (in progress), 4. Summary digest email to monitor (added to small enhancements list)
  • continue to track user feedback and suggestions and define changes to be grouped into mini-project for small enhancements (see Staff Enhancements List - ongoing)
  • participate in the development of the communications to staff and students and updates regarding the IT Tools project (complete)
  • analyse the usage following the release and resolve questions regarding functionality (added, complete)

Issues

  • Amber status due to: delay in completion of work - introduction of new functionality to enable formatting of text and investigation of issues post go-live thought (mistakenly) to be due to PT functions delayed delivery of Add File, Flag as Deleted and remaining staff functions into October.

Next Steps

Project aims for October are to:

  • complete the acceptance test of the remaining PT and SSO functions (including batch job of notification for change of PT) and deploy to live
  • complete the acceptance test and deploy to live enhancements to 2. Add file (in progress), 3. Flag as deleted (in progress)
  • continue to track user feedback and suggestions and define changes to be grouped into mini-project for small enhancements (see Staff Enhancements List)
  • complete the handover to support and move to closure (closure expected early November)
  • initiate the project for the small enhancements (and ask Senior Tutors to prioritise the requirements)
  • initiate the projects for the Small Group functions, Photos, and ability to add the meeting to the staff and student diaries.
