Section One: Programme Commentary, RAG and Resources Update

The Student Marketing Services Infrastructure Migration and Student Marketing Services Enhancements projects have been transferred to the Student Services Programme. This is becasuse the Communications & Marketing Prospectus Application Enhancements (STU222) project was started in Student Services during 12/13, and these three similar projects are now combined within the same Student Services Programme.

The UK Government has not yet enacted the legislation to implement the EU legislation for the Training Records for Research Legislation project. This means the requirements are not known, and Biological Services have requested that this project be deferred to the start of the next academic year in August 2013.

150 days were allocated as ring-fenced funding for the College of MVM during the Annual Planning process. The first project MVM have requested using this is Speedwell Database Hosting (TEL002) and 35days are currently estimated for this project. The remaining ring-fenced 115 days are being held within this programme as it is expected that they will be related to Academic or Student requirements. If this turns out not to be the case, the ring-fenced budget will be transferred to the relevant programme.

The Project Sponsor for the Personal Tutor project expects that effort on the IT Tools be reduced over the next few months while the use of the tools beds in with staff and students, though enhancements will continue to be tracked and fixes implemented.

This project is likely to be separated into a number of smaller projects.

The three functions in the next phase currently agreed to be developed for the start of the next semester are:

a) Small Group Functions b) Photos (for students) c) Ability to add a meeting to staff & student diaries (this is dependent on another project).

It is expected that further functions, including the rollout to PGT, will be defined during the year for implementation prior to the start of Semester 1 in 13/14. These requirements need to be clear by around December to leave sufficient time to design, build and test suitable tools.

Dependencies

For a) - c) above: Definition and sign-off of requirements. In addition: b) Completion of existing project DEI006 to point of stable code within MyEd and User Acceptance; agreement of staff to opt-out of photo display c) Implementation of Office 365 Project for Student Diaries

This project is to be deferred as planned carry-over for 13/14 during the mid-year review in January 2013.

 

Dependencies

This is dependent on the UK Government enacting the legislation to correspond to the European legislation which will come into force on 01-Jan-2013. This project cannot start until the UK Government requirements are known.

Achievements in Last Period

Project aims for August were to:

  • define the requirements for the (enhanced) notes functions, in particular the email notifications (complete)
  • complete build and test for student MyEd channel changes (complete)
  • build, test and release enhancements to notes as soon as they are ready in priority order 1. Mark as read (complete), 2. Notification emails (complete), 3. Add file (in progress), 4. Flag as deleted (in progress), 5. Summary digest email to monitor (not started) [note it is unlikely all of these will be completed in September]
  • track user feedback and suggestions and define changes to be grouped into mini-project for small enhancements (see Staff Enhancements List)
  • participate in the wider communications planning (complete)
  • participate in the training and rollout where needed (complete).

Issues

  • Amber status due to: delay in completion of work in July and August meant prioritisation of student functions for delivery prior to Fresher's week (complete); delivery of remaining staff functions will be through September.
  • Introduction of new functionality to enable formatting of text will delay delivery of Add File, Flag as Deleted and Summary digest email to monitor, likely into October.

Next Steps

Project aims for September are to:

  • deploy the student MyEd channel changes to live
  • complete build and test of the remaining PT and SSO functions (including batch job of notification for change of PT) and deploy to live
  • build, test and release enhancements to notes as soon as they are ready in priority order (new function formatting added following core group decision on 10-Sep-12) 1. Formatting of text within notes, 2. Add file (in progress), 3. Flag as deleted (in progress), 4. Summary digest email to monitor (not started) [note it is unlikely all of these will be completed in September]
  • continue to track user feedback and suggestions and define changes to be grouped into mini-project for small enhancements (see Staff Enhancements List)
  • participate in the development of the communications to staff and students and updates regarding the IT Tools project.
