Section One: Programme Commentary, RAG and Resources Update

Commentary:

The overall status of the SCE programme is AMBER, with both the College Project Marking Tool project and the GeoSciences project reporting an AMBER status this month. 

During October:

  • The College Project Marking Tool made progress with user guides and the hosting set-up
  • The GeoSciences project undertook user acceptance testing, in preparation for moving towards deployment of the upgraded databases
  • Progress was checked with the CAHSS OCS upgrade with a view to starting this in CSCE
  • A meeting was held to discuss the Grouper project - it was decided a cross-college requirements project could be initiated under the CSCE portfolio

Section Two: Projects Not Started and Current Programme Allocations

Project Info - Projects Not Started Programme Manager's Commentary

OCS Project Management is a hardware inventory system, currently being used successfully by CAHSS to maintain accurate records of hardware and monitor end-of-life models.  ISG does not offer a wider service for this.  Before the CSCE project starts, the OCS server upgrade has to be completed.

The Grouper project will be a cross-college project.  A project proposal was drafted by Colin Higgs but will require to be transferred onto the IS Applications project initiation document in order for the project to be approved to start.  The project will delegate the definition of groups to college and school staff, whilst Grouper will continue to be supported as a service by IS Applications.

Other project proposals will be discussed with a view to either initiating further projects or keeping projects in the pipeline, for example a proposal to implement accessibility enhancements to the STACK application.

 

 

The start of year budget for the CSE portfolio/programme for 2019/20 is set at 165 days from core allocation; this breaks down as 15 days for programme/portfolio management and 150 days for the college ring fence allocation.

An additional 10 days each from the other two College portfolios for a contribution to the Grouper project increases the current programme budget to 185 days.

  • Ongoing projects from session 18/19 have been allocated days from this session's college ring fence allocation as detailed below:
    • SCE014 has been allocated 20 days for 19/20 to complete the project
    • SCE015 has been allocated 58 days for 19/20 to complete the project in the 84 day budget
  • From the 19/20 college project proposals, the following projects are to be initiated with a starting budget as follows:
    • OCS Project Management - 20 days
    • Grouper - 40 days (20 days from CSE allocation, and 10 days each from the other two College portfolios)

Achievements

  • User guides to reviewed and revisions suggested.
  • Hosting work to be progressed for Test and Live.  
  • Microsoft Teams support channel to be created for the OMS Support Community.  

Issues

  • Non-standard usage of the initial system has caused roll out issues with Maths.  Revised system will not allow this usage and therefore impacts upon their uptake of the new system. 
  • Requested domain name not deemed appropriate.  This is delaying the hosting configuration and as a result is being escalated.

Next Steps

  • Outstanding process arrangements covering roll out and support to be confirmed.
  • User guides to be completed following review and feedback.
  • Hosting work to be progressed for Live.  
  • Resolve situation with domain name and url so that hosting can be completed.

Achievements this period

  • First round of user acceptance testing successfully completed
  • Drafted Operational Level Agreement (OLA)

Issues

  • No agreement made on split of DBA privileges - being discussed by project team to resolve.  As a result, the Scope RAG has been marked as AMBER this month, as there is a possibility the scope will change.  The SLA/OLA milestone has been missed due to the dependency on the DBA privileges being agreed
  • Milestones for testing and deployment have been missed.  As a result, the Time RAG reverts to AMBER pending a decision on the DBA privileges, and revised milestones to be proposed to the Project Sponsor and Business Lead

Next Steps

  • Agree DBA privileges and re-test where necessary
  • Finalise build for LIVE to include TMS backups
  • Complete Technical Architecture Document (TAD)

  • Review and sign off OLA
