Section One: Programme Commentary, RAG and Resources Update

Commentary:

The CSCE Programme / Portfolio has a budget of 211 days for 2016/17.

A new project, SCE011 - ExamOnline Trial, has started this month to trial an online assessment application in the school of Biology. This short project has been allocated 10 days of core finding. The trial will take place on 16 November 2016. Outcomes and evaluation of the trial will be done in December.

SCE010 Athena Swan Reporting Improvements: This project is close to completion. A last minute change in process has been identified during the deployment. This requires a configuration change to be carried out by Payroll. The new LIVE date is 1 Decmeber 2016. This project is AMBER due to this delay.

SCEP02 Virtual Edinburgh PM consultancy and Support: This project provides PM consultancy to the Edinburgh CityScope programme of works and used 9 days of its 50 days allocation in the 16/17 budget. The Innovation project API017 Edinburgh CityScope Foundations constitutes the second phase of this programme and will end in February 2017. The project is actively working on securing funding for the following phases. A small amount of funding for this year Innovation Fund has been secured for the coming year.The project status is GREEN.

We note that an initial conversation has taken place with the school of Chemistry who are considering the use of the project website as a project management tool for internal projects.

Achievements:

New Absence Types configured in LIVE
Processes documented, user guides finalised and communications prepared
Review of notification process for paternity leave to make more robust. Agreement reached that Payroll will update the Athena Swan data field for this (see issue below)

Issues:

During preparation of the communications and user guides for the new process, a change to the paternity process was discussed which would make the process more robust. The intention is to have Payroll update the Athena Swan field when inputting paternity information to the payroll. This will ensure that the data is entered for every paternity leave. A configuration change is needed to allow Payroll to enter this data. This will be carried out in November. The Lead Business User has therefore decided to delay use of the new functionality until 1/12/16 to allow time for the Payroll and Pensions Technical Support Manager to make this change. Deployment sign off and project closure have therefore been delayed to reflect this. See change log ref 3. Open.

Next Steps:

Submit change to closure to WIS for approval on 4/11/16
Communicate changes to processes and user guidance for commencing use of new functionality on 1st December 2016

Amber status is due to agreed delay to closure of project being greater than one month

Issues

Planning will have to take into account Risk 2 - Not enough time to plan the trial and its evaluation properly by carefully considering what can be achieved in the limited time available in the preparation phase and focus the scope of the evalution on what can reasonably be measured and achieved with the time constraints.
