IS Apps Procurement Question Set

AMBER: Issue: Due to challenges with stakeholder availability, all milestones have slipped as a result.

Achievements

• Checkpoint # 1 reviewed by Service Management and feedback provided.  No sign off has been gained due to the feedback provided.
• Checkpoint # 2 reviewed by the Head of Project Services and feedback provided.  No sign off has been gained due to the feedback provided.
• Discussions held with question set owners of ‘Usability’, ‘On Prem’, ‘Mandatory’ and ‘SLA’ with feedback provided – actions have been taken away from each conversation to be completed before sign off can be provided.
• Checkpoint # 2 sent out for review and sign off.
• Meeting held with procurement to gather feedback on changes to the procurement question sets and gain support to the direction the question sets are following
• A proposal has been created and circulated due to feedback received by Service Management in which question contained within the question sets are to be reduced further by consolidating current questions which, in turn, will support in more accurate scoring of the question sets.

Issues 

• Project dates slipped again with the new, amended close date moving to Mid-October.
• An additional 2 days budget had to be requested to cover the project management due to the slippage.
• Neither question milestones (check point # 1 and checkpoint # 2) have been signed off as of yet due to the requested changes.
• PMO guidance milestone has been slipped into October due to Annual Leave within the team.
• Implementation and Training and Product Development question sets have not yet been reviewed

Next Steps 

• Obtain first draft of the PMO documentation circulate for review prior to final version being created (or pass this across to be picked up via an alternative project).
• Proposal created to consolidate the current question sets further to be reviewed and signed off/closed with subsequent actions to be picked up and completed.
• Reviewed remainder of the question sets and prepared for sign off (with exception of: Implementation and Training and Product Development);
• Format of the all procurement questions to be re-created once the final sign off has been completed along with providing both the absolute and relative % weightings.

Digitisation (Library) Process Analysis

Achievements in Last period

• As-is interviews completed
• Delivery: Business analysis sign off: Recommendations and high level requirements presented to Kirsty Lingstadt, Joe Marshall, Norman Roger and Karen Stirling. All were happy with the report and will be meeting to discuss how they can take the first 3 points forward and disseminate to Library staff
  • Point 1 was to Digitise your processes
  • Point 2 was to Streamline your systems
  • Point 3 was to Improve metadata and catalogues
  • Point 4 Promote yourselves requires wider university website integration
  • Point 5 Enhance the student experience is for the future – points 1-3 need to be happen first

Issues

• Higher priority project commitments, end of year and sheer volume of write ups meant that PM has been unable to complete the as-is write ups

IT & Library Readiness for Start of Year 18/19

Achievements in last period

• Communications Plan milestone achieved.
• Agreed Staff Contact Lists milestone achieved.
• Final updates to Readiness wiki page to be completed ahead of SMT meeting 04/09/18.
• Final regular project team meeting scheduled for 05/09/18 where the expectation is that the Start of Welcome Week (External Milestone) milestone be recorded as achieved
• The Readiness wiki page indicates an overall positive position ahead of start of session, with some additional lessons from this project to be learned for start of session preparation in future years.

Issues

• No major issues.

Next Steps

• Agree that Start of Welcome Week (External Milestone) milestone has been achieved.
• Project Sponsor and PM to coordinate lessons learned report; this is intended to include input from Estates.

The project RAG status is currently GREEN.
