Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme is AMBER due to continuing impact from three top risks and two continuing issues.

Risks raised in November

  • Departure of Head of Digital Learning Applications and Media team: New appointment has taken place but this does not reduce the risk to the programme from loss of historical knowledge and experience.
  • Industrial action: This programme's work has been impacted by colleagues participating in industrial action which is expected to continue in 2020.
  • Insufficient resources: The programme has completed estimations for the first projects in the plan and this has resulted in the need to hold a prioritisation meeting to assess what is realistically possible to deliver in 19/20. Prioritisation needs to be confirmed at the start of 2020 to ensure the right work is completed.

Section Two: Projects Not Started 

The Not Started projects in the MVMLAT programme were discussed at the 22 October 2019 programme meeting and the table below reflects the programme's current position. Due to competing priorities and lack of capacity in MVM, there are a number of projects noted as not currently planned for inclusion in 19/20.

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status:

Achievements this period

  • Limited progress due to project manager's annual leave.  Simulated Patient Co-Ordinator has viewed another organisation's database used for a similar purpose and is going to pass on details of the database to the project manager to see if it could fulfil our needs and be used within the University.

Next Steps

  • Receive details of other organisation's database and evaluate the possibility of its use within our context.
  • Continue development of Simulated Patient database.
  • Create an initial draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs and replacement cycles.

MVM125: Connectivity - Off-campus 2018/19 - RAG Status:

Achievements this period

  • Limited progress due to project manager's annual leave.
  • Have received response from clinical contact in Forth Valley that eduroam is indeed now installed in the hospital and that students are using it.

Next Steps

  • Create a suitable PC build configuration for the PAEP library and install on the computers on site.
  • Receive suggested options for restoring eduroam connectivity in NHS Lanarkshire.
MVM132 MBChB ranking reports in BI Suite  - RAG Status: GREEN

  • Delivery and Closure milestones revised as Business Lead was unable to complete review of reports in LIVE due to unexpected leave and the need to priories Exams.

MVM134 MBChB Evaluation System - RAG Status: AMBER

  • Added in the ability to share reports. A key feature of the system used to distribute evaluation results
  • Complete report filters
  • Give administrators the ability to redact free text responses that contain inappropriate material
  • Provide ability to download the raw data from reports in CSV format

  • Implement automatic generation of shares for years, blocks, and NHS boards

MVM136 Practique Roll-out - RAG Status: GREEN

Achievements this period

  • Successful Admissions Assessment days took place for the first time with no issues during the days and with great feedback from the assessors on how straightforward the process and software was. 
  • Admissions lead has begun to use the data and is delighted with the information - the desired outcome has been achieved.
  • Lessons learned completed for Admissions - key success factor was how thoroughly prepared the Admissions team were for the Exam Fit days in September, which meant their requirements were very clearly understood.

  • College is working with supplier on option to have a separate TEST instance for the Vets/BMTO.

Next Steps

  • Business completing agreed steps to ensure the MBChB HCP Admission Assessment days take place smoothly
  • Detailed planning for the Vets and BMTO work

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closed

DTP001: Apps to User Devices - RAG Status: AMBER

Summary of Achievements in last period:

  • Progress on actions 
    • Training videos - reviewed and updated with subtitle to comply with Accessibility Legislation
    • Access on EUCLID - solution implemented
    • OneDrive visibility- Work around implemented and available via Apps Ed FAQ web page
  • CAHSS - testing plan restarted and ongoing
  • MVM - await sign-off for remaining applications
  • Performance/ Load testing unable to be completed prior to soft launch
  • Note: Soft Launch date  and Communication Plan with Project Board for approval

HSS022: CAHSS WAM Deployment  - RAG Status:

  • Closure report drafted and circulated

  • Delay due to lack of availability from programme manager to complete closure

TEL057: Learn Foundations - RAG Status: 

Achievements this period

  • Phase One School reports completed and sent to key contacts;
  • Continued on the Phase Two work streams;
  • Created the Evaluation baseline;
  • Completed Lessons Learned report for Phase One with the project team;
  • Began to schedule the 2nd round of engagement sessions with the non-phase one Schools.
  • UX recruitment and activity continued.

Issues

  • As with November, industrial action has impacted the progress of the project with various stakeholders being away from the office before moving into the Christmas and New Year period where no UX activity could be scheduled.  No impact to the overall timeline of the project.

Next Steps

  • Continue on the Phase Two work streams.
  • Undertake the 2nd round of engagement sessions with the non-phase one Schools.
  • Gain commitment from the non-phase one Schools to join the Learn Foundations project within Phase Two.
  • UX recruitment and activity to be continued.
  • User Groups to be undertaken for both Staff and Students within January.
  • Phase Two review of the programme of training to be undertaken.
