Commentary

Programme status: The overall status of the MVMLAT programme is AMBER due to three new risks and two continuing issues.

Project highlights

  • MVM132: Issue resolved with planned re-work and report passed to Business Lead for testing in LIVE
  • MVM134: Completion delayed due to Industrial Action
  • MVM136: All Exam Fit report have been received and all exams are prepared for the Admissions Assessment days starting on 9th December
  • MVM135 and MVM137 have started this month

Section Two: Projects Not Started 

The Not Started projects in the MVMLAT programme were discussed at the 22 October 2019 programme meeting and the table below reflects the programme's current position. Due to competing priorities and lack of capacity in MVM, there are a number of projects noted as not currently planned for inclusion in 19/20.

Section Three: Projects in Progress

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Limited progress due to project manager's annual leave.  Simulated Patient Co-Ordinator has viewed another organisation's database used for a similar purpose and is going to pass on details of the database to the project manager to see if it could fulfil our needs and be used within the University.

Next Steps

  • Receive details of other organisation's database and evaluate the possibility of its use within our context.
  • Continue development of Simulated Patient database.
  • Create an initial draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs and replacement cycles.

MVM125: Connectivity - Off-campus 2018/19 - RAG Status: GREEN

Achievements this period

  • Limited progress due to project manager's annual leave.
  • Have received response from clinical contact in Forth Valley that eduroam is indeed now installed in the hospital and that students are using it.

  • Create a suitable PC build configuration for the PAEP library and install on the computers on site.
  • Receive suggested options for restoring eduroam connectivity in NHS Lanarkshire.
MVM132 MBChB ranking reports in BI Suite  - RAG Status: GREEN

MVM516 BMS - Honours Project Portal Future Support - RAG Status: AMBER

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closed

DTP001: Apps to User Devices - RAG Status: AMBER

Summary of Achievements in last period:

  • Project go live approval delayed
    • Progress on actions 
      • review training videos - reviewed with supplier, further engagement with Digital Skills team in progress
      • Access on EUCLID - solution identified and will be implemented week commencing 3rd Nov
      • OneDrive visibility- Work around identified and await publishing
  • Communications Plan updated and with project board for approval
  • Complete the update of project plan to reflect new delivery date- Ongoing
  • OLA final approval Complete
  • CAHSS - await feedback from UAT
  • MVM - await sign-off for remaining applications

Note: UAT issues meant the Soft Launch date was not achievable and project will be re-planned once full requirements of training videos have been confirmed

TEL057: Learn Foundations - RAG Status: GREEN

Achievements this period

  • All Schools re-engaged with for Phase Two discussions:

    • 6 Schools and 1 Deanery were Phase One partners and discussions are underway to continue this partnership
    • Learn Foundations has been in touch with the remaining 15 Schools and 2 Deaneries with approx. 50% of initial engagement meetings in place/undertaken.
    • For those Schools who have had their initial engagement meetings, next round of meetings are currently in the planning stage.
  • Automation business requirements gathered with BRD completed and IS Apps time scheduled.
  • Lessons learned meetings with both the project team and phase one Schools completed with report in progress.
  • Summer analysis completed with Schools reports in progress.
  • Progression on the project work streams: Template, Terminology, Checklist, Training & Support and Evaluation.
  • Creation of new forward facing SharePoint to showcase project updates.
  • Significant communications activities falling out from the engagement meetings undertaken.
  • UX recruitment and activity underway.

Issues

  • Industrial action has impacted the progress of the project with various stakeholders being away from the office.  No impact to the overall timeline of the project.

Next Steps

  • Complete the Phase One School School reports;
  • Continue on the Phase Two work streams
  • Create the Evaluation baseline;
  • Complete Lessons Learned report for Phase One with the project team;
  • Begin to schedule the 2nd round of engagement sessions with the non-phase one Schools.
  • UX recruitment and activity to be continued

RAG Commentary
The overall status of the MVMLAT programme is AMBER due to three new risks and two continuing issues. Risks raised in November Departure of Head of Digital Learning Applications and Media team: the current head has decades of experience and knowledge that will not be possible to handover fully. Industrial action: This programme's work will be impacted by colleagues participating in Industrial action Insufficient resources: The programme has completed estimations for the first projects in the plan and this has resulted in the need to hold a prioritisation meeting to assess what is realistically possible to deliver in 19/20 Issues The programme is still being impacted by the issues raised in October: An issue has been raised at portfolio level due to resources being reassigned to Core Systems. The immediate impact to MVMLAT is for the BMS Honours Portal project but given the need to manage the impact of the resource loss across the Portfolios, the programme may be at risk of further impact. A decision to withdraw £100K of funding has been noted on MVMLAT which has a substantial impact on the AV work possible this year for the College.
