Section One: Programme Commentary, RAG and Resources Update

Commentary

  • MVM133: Curriculum Mapping Tool - Requirements is now CLOSED
  • MVM134: Project had resource issue causing a status of AMBER but this is being resolved
  • MVM136 Practique Roll-Out has now started
  • Programme status: The overall status of the MVMLAT programme is GREEN

Section Two: Projects Not Started 

The Not Started projects in the MVMLAT programme were discussed at the October 2019 programme meeting and the table below reflects the programme's current position. Due to competing priorities and lack of capacity in MVM, there are a number of projects noted as not currently planned for inclusion in 19/20.

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Continued progress on the Simulated Patient database by expanding the SQL database structure and beginning creation of the frontend application.

Next Steps

  • Continue development of Simulated Patient database.
  • Create an initial draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs and replacement cycles.

MVM125: Connectivity - Off-campus 2018/19 - RAG Status: GREEN

Achievements this period

  • Khipu Networks have spent time sorting out a new quote

Issues

  • I have received reports from clinicians in NHS Forth Valley that eduroam is now being advertised in the hospital.  Khipu aren't aware of any work being carried out, as I haven't agreed to the quote yet and there has been no response to communications sent to the NHS Forth Valley IT staff or to Serco staff.

Next Steps

  • Create a suitable PC build configuration for the PAEP library and install on the computers on site.
  • Receive suggested options for restoring eduroam connectivity in NHS Lanarkshire.
  • Chase up NHS Forth Valley IT and Serco to clarify the position with regards to eduroam in NHS Forth Valley.

MVM130 Upgrading of teaching spaces 2018/19 - RAG Status: GREEN

Achievements this period

  • The University library moved up to its new location within the Western General Medical Education Centre and the computer labs have been set up to allow students to make use of them.
  • Have agreed with the AV contractor for the Western General Medical Education Centre that they will return on 2nd and 3rd October to complete the simulation room installations.

Issues

  • The Vet School are unhappy with the temporary camera solution that was implemented in room G.45.  This was down to a misunderstanding (due to a lack of communication to them) as they didn't realise it was a temporary solution to see if a trolley style system would be suitable for the room.  Further communication will take place with the local IT team and the technicians who work in room G.45 to agree a suitable permanent solution which will be paid for out of the 2019/20 AV budget.
  • The incorrect RJ45 ports installed in the Chancellor's Building rooms did not get replaced on the evenings of the 18th and 19th September as agreed with engie, despite sending reminder emails to them in advance of the work.  This has therefore been escalated within their company, as our AV contractor needs to return to complete their work.

Next Steps

  • The project will be now be closed due to the majority of the work being completed and a closure report will be created.  The remaining work will be carried over into the new project for teaching spaces upgrades 2019/2020.  This will include:

    • Design solutions for the installation of the air canisters and the nurse/emergency call system for the Western General Medical Education Centre.
    • Reinstall screens in Vet School G.45 once panels are painted.
    • Implement permanent solution for the camera requirements in Vet School G.45.
    • RJ45 ports to be replaced in Chancellor's Building and then AV contractor to return to complete installations.
MVM132 MBChB ranking reports in BI Suite  - RAG Status: GREEN

  • Support arrangements agreed with Student Data and reporting team
  • Promotion to LIVE completed (JIRA MVM132-2)
  • Demo session arranged for Vets and BMS
  • Project rescheduled to closure

Issues

The project completed a change control for milestones, withdrawing those not required and agreeing revised milestones to the remainder of the project.

Next Steps

  • Student Data and Surveys team resource to complete updates to reports and provide initial check
  • MVM to check behaviour in LIVE is as expected

MVM134 MBChB Evaluation System - RAG Status: AMBER

Achievements this period

  • Supporting framework (Laravel and Vue.JS) set up and ready for development
  • Different question types added to system
  • Ability to add question banks implemented
  • Ability to add questions to question banks implemented

Issues

  • Emergency leave for one member of the development team meant there was a reduced number of hours available to work on the project
  • Backlog of tickets needing code reviewed due to unexpected leave within the team

Next Steps

  • Add functionality to create a student evalaution
  • Add functionality to create a tutor evaluation
  • Create a test site to demo progress and gather feedback from Keith Wylde and Sheila Patel

 

MVM136 Practique Roll-out - RAG Status: GREEN

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closing

  • The three bespoke VLEs are now in archive (read-only) mode and will be fully decommissioned in September 2020
  • learning.essq.ed.ac.uk was archived on 12th August 2019
  • learning.surgery.ed.ac.uk was archived on 1st October 2019
  • learning.ophthalmology.ed.ac.uk was archived on 1st October 2019
  • The Project Board has reviewed and approved the Project Closure report and most of the risks have now been closed.
  • The two open risks relate to the read-only archived sites, and it has been agreed that should there be a failure the sites may no longer be available.

DTP001: Apps to User Devices - RAG Status: AMBER

 Summary of Achievements in last period:

  • infrastructure testing completed and signed off by Desktop & Enterprise
  • Completed review with colleges of UAT and UAT plan confirmed
  • Communications Plan reviewed and updated 
  • Complete the update of project plan to reflect confirmed dates - Ongoing
  • OLA final approval (following training) - Complete

Project Board Meeting held for go live approval 

  1. UAT highlighted problems accessing the service
  2. UAT highlighted problems using OneNote
  3. UAT highlighted problems with Training films
  4. Feedback from UAT to be investigated prior to board members agreeing Soft Launch Go Live
  5. CMVM students using the current Citrix solution will no longer move onto Apps ED in October
  6. CSE can move established users onto the new Apps Ed service in October and have approved apps tested at UAT
  7. CAHSS will advertise service but not use as part of teaching
  8. Apps still to be signed off fully by the Colleges will be available at the soft launch
  9. Penetration test to be scheduled

Note: UAT issues mean the Soft Launch date is not achievable and project will be re-planned
