- Commentary: Project is AMBER: the showstopper issue has been resolved and we have re-planned the milestones for the project and Dev and DevTech resource is confirmed however we now need to look at the budget for the revised milestones as the original budget has now been exhausted. Revised costs submitted to programme manager and sponsor for consideration.

INF142 (18-19 Project)
Move IS based Oracle databases to VMs and stretched cluster
Milestones
RAG Status: AMBER
Overall status is Amber for now. The overall time and cost will be amended in January after WIKI service migrated. After WIKI service is migrated there are still 7 or 8 different services that need to be migrated to the new Virtual server solution. A new plan will be agreed to migrate each remaining service and this will confirm extra budget needed. The project has 35 days remaining in the current budget(10 days was incorrectly booked last month so we have actually gained a few days back in the budget this month). I would guesstimate another 100 days in total would need to be allocated to this project. The project was initially due to complete around June 2020, it is likely to slip a few months at least and will enter the 2020-2021 financial year(August). A WIS/PICCL will be getting raised to justify budget change and the shift in major milestones. The Programme Manager and Sponsor have been informed of the forthcoming budget increase and the project being pushed back a few months. This will be put through in late January.

Report by Mark Downey for December 2019
Achievements
- Test Service for WIKI migrated
- Engagement with ITI begun around some of the issues with backups and scheduling for VMs
Issues
- Ongoing issues with backups and scheduling for new VMs - meeting setup with dev tech and ITI to discuss and plan to resolve.
- Migration of WIKI service has taken longer than expected with some issues in the automation.
- Plans for all migrations still to be created and finalised
- Major issues with VMs working the way the technical teams expect in the Metro stretch cluster environment. As this is not the priority at present, getting the production issues with backups and the actual migrations done is, it may well be that the Metro stretch cluster is descoped at some point in near future. Awaiting further feedback from Technical staff looking into these issues.
Next Steps
- Live services for WIKI service to be migrated and tested and signed off as working
- Updated documentation for dev, test and live database migrations for WIKI and finalised
- New updated plan for project to be created and put in place with new guesstimates to cost, time and dates for when each service can be moved to Virtual Server solution.
- A request for more budget and to move the project back by probably 3 months will be made after full WIKI service migrated.

Report by Karen Stirling for November 2019
Achievements since last report
- Meeting held with Elecosoft on 7th November to discuss options for upgrade and reviewing server details to understand if in place upgrade could be an option and understand where supplier can support upgrade activity
- Costs provided for supplier engagement during upgrade
- Draft estimates and review task activity
Issues
- Elecosoft advised that although there is a cloud solution available they have not yet tested Timesheet application in the cloud. As this is currently outstanding we would not be able to move to the Cloud.
- Production Management have been advised that for this project a move to a Cloud Solution is deemed not in scope
- Due to limited PM availability due to annual leave, other project commitments and also technical resource not available due to Industrial action the planning milestone has been revised and approved
Next Steps
- Arrange technical workshop
- Project brief approval and submission to WIS
- Project plan and resource assigned

Report by Mark Downey for December 2019
Achievements
- Updates to WIKI and new round of communications to owners of servers and services affected with End of Life dates emphasising repeatedly the end of life date of 14th January 2020 for Windows 2008 servers
- Few more servers now have definitive decommission dates and/or mitigation plans. Updated Wiki and working with technical resources to create Unidesk tickets for these switch off of servers events.
- Updated Abacus database with information.
Issues
- Not all service owners are providing mitigation or indeed feeding back. I am escalating this through the sponsor.
Next Steps
- Continuation of work with servers and databases on the End of Life lists. A few more plans or mitigation required. Working with Sponsor and service owners to look at potential for extended security updates cover for individual servers without plans
- Look into Linux server list for decommission more thoroughly as to date have been concentrating on the Windows 2008 servers, which are more pressing.
- Organise decommission of any additional servers highlighted as unused from feedback from email communications.
