Report by Sue Woodger for November 2019
Achievements in last period
- DevTech unable to get a license for CF2016 so have been using the trial version to get 2016 working with our showstopper issue
- Project sponsor advised 27 November that we move forward in resolving the CF2018 showstopper issue as moving to CF2016 will only give us a further year of support
- Discussed end of life for Card and Print applications with Barry Croucher and Robert O’Malley
- Budget increased by 5 days 8 Nov 19 to allow for end of life meetings. This has been taken out of INF152 budget
Issues
- Adobe provided a patch but DevTech have not been able to get it working
- Industrial action has affected project as cannot move the resolution of the patch forward
Next Steps
- DevTech developer has been booked from the end of the industrial action for a week to work with Adobe to get the CF2018 showstopper fixed
- DevTech developer also booked for 5 days over next 2 weeks (13-21 Dec 19 ) to look at how we secure locking down internet facing access to make our applications more secure
- Meetings with business owners to continue to determine how to manage the applications end of life
- Commentary: Project is still RED.
- Description: Patch supplied by Adobe not working. We investigated moving to CF2016 but as this this only gives us one additional year of support the project sponsor is prioritising DevTech resource after the industrial action to resolve the showstopper issue with Adobe and to look at locking down internet facing access to make our applications more secure. Meetings have commenced with business owners on how to manage the end of life of their applications on ColdFusion
- Impact: Project cannot move forward until industrial action has stopped and this time will be ring-fenced to resolve the showstopper and look at how we secure the applications. Project unlikely therefore to restart work on Dev and Test until the new year.
- Plan: Once showstopper resolved the project can be re-planned and new milestones dates submitted

INF142 (18-19 Project)
Move IS based Oracle databases to VMs and stretched cluster
Milestones
RAG Status: AMBER
Overall status is Amber for now. The overall time and cost will need amendments to complete this project.Only 1 service is close to completion(WIKI) and this is the first target, hopefully a completion date in January can be achieved for this . After this has been completed there are still 7 or 8 different services with databases that need to be migrated to the new Virtual server solution. Meetings have been arranged to try and get definitive lists of databases that need to be migrated and then to get a technical plan in place for each service with better guesstimates for dates and times. The project only has 33 days remaining on the current budget. I would guesstimate another 100 days in total would need to be allocated to this project. The project was initially due to complete around June 2020, if it is realised another 100 days are required to complete the project, then the project is likely to slip by at least a few months which means it would enter into August and the 2020-2021 financial year. I will be raising a PICCL and WIS for the major milestone changes, that is when it is realised what they they will be after a full re-plan and re-estimation.

Report by Mark Downey for November 2019
Achievements
- New PM picked this project up mid November so familiarisation of Project and meeting technical resources achieved.
- Few more Virtual Machines rolled out and given to Database Administrators ready for next services
- More Planning from database team for next services BUILD and RMAN
- Meetings planned with technical team on 6th December to evaluate and confirm when WIKI service in its entirety can be migrated, tested, finalised and signed off. After WIKI completed, a plan for the migration of all other databases in scope for project can be made.
- Meeting planned on 10th December with stakeholders to start discussions regarding the re-planning and re-estimation of project
Issues
- After initial meetings with technical teams it is anticipated a number of milestones will need to be amended on this project, this will be clearer after my next few meetings with technical teams and stakeholders and being able to pin down the technical resources I need to complete a plan.
- Migration of WIKI service has taken longer than expected with some issues in the automation.
- Plans for all migrations still to be created and finalised
Next Steps
- Test and Live services for WIKI service to be migrated and tested and signed off as working
- Updated documentation for dev, test and live database migrations for WIKI and finalised
- New updated plan for project to be created and put in place with new guesstimates to cost, time and dates for when each service can be moved to Virtual Server solution.

INF143 - MySQL Environment Migration
Milestones
|
Report by Tim Gray for November 2019
Achievements in Last Period
- Some tidy up tasks for EdWeb completed.
- Deployment review for EdWeb completed.
- EdWebTRAIN migrated to MariaDB.
- UAT completed for all applications on CAM, Blogs and MGen.
- Critical JIRAs for LIVE resolved.
- Initial discussion for next stage held. DevTech and Production will document and classify all applications across DBs. This will allow a estimation and scheduling to be completed.
- Closure Milestone moved out.
Issues/Risk
Next Steps
- Deploy CAM, Blogs and MGen to LIVE on 10th and 11th December 2019.
- Start planning next steps for separating applications out from CAM and MGen to separate VMs.
- There is the possibility that we will not move EdWeb out to VMs. EdWeb is due to move to hosted infrastructure in 2020. Depending on when the new hosted infrastructure will be available, which is being delivered under WPS002, EdWeb could stay on the physical infrastructure until that move. Concerns about the potential impact on performance has been raised if we were to run EdWeb on VMs. Initial tests earlier in they project were not encouraging.

Report by Karen Stirling for November 2019
Achievements since last report
- Meeting held with Elecosoft on 7th November to discuss options for upgrade and reviewing server details to understand if in place upgrade could be an option and understand where supplier can support upgrade activity
- Costs provided for supplier engagement during upgrade
- Draft estimates and review task activity
Issues
- Elecosoft advised that although there is a cloud solution available they have not yet tested Timesheet application in the cloud. As this is currently outstanding we would not be able to move to the Cloud.
- Production Management have been advised that for this project a move to a Cloud Solution is deemed not in scope
- Due to limited PM availability due to annual leave, other project commitments and also technical resource not available due to Industrial action the planning milestone has been revised and approved
Next Steps
- Arrange technical workshop
- Project brief approval and submission to WIS
- Project plan and resource assigned

Report by Mark Downey for November 2019
Achievements
- New PM Mark Downey taken over this project
- Updates to WIKI and new round of communications to owners of servers and services affected with End of Life dates
- Few more servers now have definitive decommission dates. Updated Wiki and working with technical resources to create Unidesk tickets for these switch off of servers events.

Next Steps
- Continuation of work with servers and databases on the End of Life lists.
- Organise decommission of any additional servers highlighted as unused from feedback from email communications.
