IS Applications Infrastructure Programme Report for Programme Owner Stefan Kaempf

 

Section One: Programme Commentary, RAG and Resources Update

Overall Programme RAG: RED

All projects planned, start dates set, continuing projects as planned or allocated budget for unplanned. Requests for project managers made and PM's have been assigned to all projects. Additional projects INF144 and INF145 added to programme.

However, an increasing number of projects are reporting lack of resource and conflict of resource - if there are no resolution in May 2019 then programme will have to re-consider viability of delivering many of its benefits in 18/19 (Risk raised)

Achievements in last period

  • Project timescales were revised due to resourcing issues. We now have resource in place from 5 August when project will fully recommence.
  • We have had intermittent software dev resource in July to work on the outstanding jiras

  • Build for Windows machine  to be completed
  • Outstanding jiras completed to allow Linux build to be completed

Project is GREEN again as resourcing has been confirmed and revised milestone dates agreed.

Achievements

PMP

  • PMP has been completed successfully in TEST
  • PMP in LIVE will be carried out by Tech Man in August 
    • At meeting on 17-Jul with Tech Man, Apps Supp and Project Manager agreed PMP in LIVE will be completed in August within support (less than 2 days effort) 

Oracle Grid

  • Oracle Grid only exists in LIVE and so the TEST Signoff was withdrawn
  • Tech Man has successfully completed all the security patches
  • Tech Man successfully completed the upgrade in LIVE
  • Oracle Grid went Live on 25-July

General

  • Overall Acceptance signed off
  • Overall Deployment signed off
  • Closure completed, reviewed and signed off
  • Budget reduced for INF139 to 120 days (from 140 days)
  • Project passed to WIS for Closure on 29-July

INF140 - Middleware Patching Process

Achievements in Last Period

  • Consul completed in Dev, Test and Live
  • MS SQL Server completed in Test as part of WSUS package
  • Closure report completed and reviewed / signed off by project team
  • Closure submitted to WIS for approval 

Issues

  • 8 Outstanding strategies to be completed under next project as agreed in project closure meeting with key project team members and project sponsor
  • Unspent budget of 36 days (20 +16 on closure) returned to INF programme as per agreement with Project Sponsor and Programme Manager, approved budget now showing as 34 days.
  • WIS submission not approved as Development Services SOM advised he has not seen any of the documents, he needs to agree that the project is fit for purpose. Subsequent meeting held with SOM to discuss project output and agree points to allow closure, awaiting confirmation that he is happy to sign off

Next Steps

  • Re-submit closure to WIS

 

This project is AMBER as closure approval via Internal Application process not approved, review outstanding points with Development Services SOM for them to confirm closure and resubmit.

  • Build of VMs and CentOS version of database still being carried out
  • Clarification round resources required in ITI Unix team

  • Some tasks have needed to be revisited as more is discovered about what we are doing

INF143 - MySQL Environment Migration

Achievements in Last Period

  • Technical challenges have been experienced with loss of access to the Dev environment and  despite a number of escalations this has delayed the project
  • Key technical resource absence has also compounded the delay

The original plan and of this project was to move to a virtualised environments and to use MariaDB in preference to MySQL. As a by product of the project, the University would stop using MySQL and avoid a £27000 licence maintenance renewal. The project scope did not include decommissioning of the MySQL environments.  However, as of 30th July 2019 clarification has been received from Oracle, the licence owner of MySQL, that to avoid the licence renewal liability, all MySQL environments must be decommissioned. This must be accomplished by Mid October 2019. The impact of this objective change increases pressure on the project to deliver the full decommissioning .  

A change request has been raised to increase the overall project priority from Higher to Highest. A further change request needs to be documented to add a number of additional deliverables including;

  • The migration of ALL MySQL applications from the current MySQL servers to a Virtual Server running Maria DB
  • The migration of ALL other applications running on these servers to ‘somewhere else’
  • Decommission of DEV /TEST / LIVE  Linux 6 Platforms used by MySQL / file shares.  
  • Closing down the servers by 25/10 (so that Oracle will not charge for licensing

Other contingency mitigation options have been considered but no recommendation  has been put forward.  These include;

  • Mariabackup
  • SQL Dumps
  • File System Snapshots
  • LVM

  • PICCL amending the scope and deliverables of the project
  • A analysis of all applications that must be migrated from the environment
  • Confirmation of the date of notice of termination of MySQL licence contract
  • decommissioning plan for the environments

  • Complete Puppet and Bamboo configuration to enable build automation
  • Build Test, Staging and Live environments for the pilot application (EdWeb)
  • Migrate  pilot application to Test servers
  • Commence testing

Achievements

  • Successful deployment to trial, development and test environments achieved.
  • Preparations for go-live were completed.
  • Go/No Go decision was taken at a project review meeting with agreement to implement on the 1st August.
  • Change record raised to allow for a suitable warranty period with project closure now moved to Mid-august.

Issues

  • Bug identified but a work around is in place and project team agreed this wasn't a showstopper to prevent go-live.

  • Oversee project closure.
