Key activities:

Business:

EST109: Strategic Reporting. Risk: additional cost- 112 days.  Project brief under review & funding agreed for additional 112 days.  DM to seek further details on additional costs.  Estates Maintenance and Space reporting will be early adopter of Enterprise Data Warehouse.

EST097: Purchase to Pay.  Agreed on hold until Jan '18

EST100: BIM Strategic review:  Agreed on hold until 2018/19

 

Estates Capital System

EST102: Estates Capital System Procurement.  Responses and presentations scored.  Request to make supplier visits (to be scheduled).  Signoff of vendor expected by end '17

EST103: Estates Capital System Implementation.  Technical Design held until application identified.  Transition and Operating model plan underway to deliver 'must-haves'

EST104: Estates Capital System Embed & Optimise.  On hold - expect to kick off at DP1 GoLive.  Capture and agree priority for delivery of 'should/could haves'

 

Hard Services (Helpdesk and Maintenance):

EST098: Archibus upgrade.  Risk: Test defect with Mass for resolution - plans unclear.  Impact on GoLive TBC - we expect a move to early 20187 due to Christmas period.

EST099: Mobile Asset data capture.  Risk: Data ageing in offsite environment.  Requested clarity on ageing issues.  Agreed on hold until post EST098. AP78-005: 'Archibus opportunities': Project to be initiated after EST099 to improve use of Archibus v23.1.  Immediate priority is Asset management

Helpdesk - Group ticket access: Request from Helpdesk to support multi-ticket management.  Seeking additional Business Analyst support from ISG

Hard Services (Energy)

EST095: Energy Systems Upgrade.  Project requested closed.  Energy team to pick up remaining issues.  Closure report being prepared

Consolidated Energy Systems: Immediate need is to pick up outstanding issues from EST095 to ensure stability of current systems.  Performing review of Energy systems with GF/DJ/MC/SS

Meterology: Meter-reading speed improved (25 minutes to 3) by improving database performance (new processors, memory).  Meterology looking at database optimisation

 

Hard Services (Asbestos):

EST107: Asbestos Systems review: Asbestos systems review underway to create a future-proof Asbestos system and dataset.  Handover completed to new Project Manager

 

Soft Services Consolidated Systems review:

Waste: Risk: Spreadsheet to be used for capture of waste tracking across several hundred waste generators - potential loss of data.  Picking up with DB/GF

Security: Working with ISG and Security team on consolidated system (Door access, Alerting)

Consilidated Soft Services Systems: Meeting arranged with GF/DB to agree priorities for Soft Services

 

Mass 3rd party:

Customisations audit:  Risk: High levels of customisations affecting system stability - impact on upgrade/BAU activities and Intellectual property stranglehold. Requested customisations audit from Mass Systems - delayed due to Single Points of Failure in Mass team.  Chasing Mass for progress post EST098.

Mass - resolution planning: Risk: Lack of maturity in Mass technical team.  Little clarity/visibility on plans for technical resolution (recent mobile issue in EST098).  Request to Mass regarding improved methodology - on hold pending immediate EST098 issue

Account Management actions:  Risk: Strategic risk to Estates Operations.  Action plan agreed with Mass post June support renewal.  Little response from Mass to date.  Concerns to be raised in account management meeting

 

Technical Systems:

ESTP02: Archibus technical upgrade underway as part of EST098.  Server technology, database, web server and Java upgrades underway.  Within EST098 timelines.

ESTP03/ESTP04: Annual upgrade strategy to be agreed for Archibus and Perspective

SQL upgrade:  Database version running out of support.  Requiements to be confirmed

 

Programme areas:

Business-as-Usual Operating Model: TOM defined - will be rolled out as part of EPPM and included in future medium/large scale projects.

Data and Documentation: Immediate actions discussed as part of EPPM - this project will close and be incorporated into EPPM and subsequent medium/large projects

Programme/Portfolio Strategy: IS Strategy documentation being extended to support communication of immediate Estates IS direction and actions as part of Estates projects.  clarify IS direction and 'whole-life' view, allowing Total Cost of Ownership planning.

Breakfast briefings: Team breakfast briefings to be recorded and linked online.  Planned for November

 

External Activities:
