During June

Progress continues to be made on all active projects,. However, there are a number of project issues regarding sponsorship that have still to be resolved.  During the month the level of activity that could be completed with the remainder of the academic year has been assessed resulting in some retained contingency being removed and some tasks continuing into the next academic year.  Consequently the overall programme budget has been reduced by 54 days from 881 days to 827 days.

With the programme now covering several departmental areas within Estates, there is now the requirement to review future attendees to the programme meeting and the overall budget holder.

During June, a total of 50 days were utilised by IS Applications across the programme, resulting in a monthly burn rate of 72%.

  • Achievements

    • The certificates issue impacting on the mobile client was resolved after escalation within IS
    • Monthly billing and archiving
      • Additional requirements regarding PAT tests and archiving have been specified, reviewed and estimated, with development has been scheduled to commence w/c 11th July
      • Additional reports to be changed have been specified and reviewed and are currently being estimated, with development scheduled to commence w/c 1st August after the developer returns from holiday
    • Supplier Support
      • The revised project plan has been reviewed with two representatives from our supplier
      • Arrangements are being put in place to ensure weekly supplier presence from w/c 8th August to the go-live in September - purchase order still to be forwarded
    • System Performance Testing
      • Monitoring software has been attached to both the application server and the database server
      • initial single user tests have not highlighted any issues
      • Confirmed with supplier there is no systematic method to mirror load to mobile devices
      • planned to have system monitored during initial scenario testing exercise scheduled for w/c 11th July
    • Preparation for go-live
      • the first user guide relating to the fault reporter has been completed and circulated for review
      • progress continues with regards clarifying business fault reporters
      • meeting with business lead to formulate schedule and content for all scheduled user training
    • System Issues
      • The changes impacted by the recent EBIS On-Line ColdFusion project have been re-implemented
      • The issue with the stock card on EBIS OnLine has been resolved
    • SmartClient
      • The workshop to review the functionality of the SmartClient was held and favourably received by the Space Planners
      • Have clarified that it is now possible to publish .svg drawings for the mobile client - although this has still to be fully tested to ensure drawings are being saved to the correct location on the live environment

 

Issues

  • Due to the elongated time of the project, there will be the requirement to increase the overall project budget and will be discussed with the project sponsor on return from holiday
  • SmartClient
    • During the workshop it was determined that certain data views were failing due to historic configuration changes implemented for the Space Planners.  This is currently being reviewed to determine if the configuration changes are still required to determine whether the SmartClient views have to be adjusted to accommodate these changes or if they can be removed if no longer required

  • Investigations into existing and potential solutions have been concluded by the external consultant

  • Further meeting with the Energy team scheduled for 21/07/16 to compile feedback
  • Meeting with project team and external consultant arranged for 08/08/16

  • Due to a combination of holidays and additional time to review the Strategic Report the project closure has been re-scheduled to August.

Next Steps

  • The Energy team will meet to provide feedback with regards to the first draft of the strategic report

Achievements in Last Period

  • Environment build completed, UAT Completed, Acceptance sign-off completed.
  • The project priority was increased to level 1 to help get it over the line.  
  • EBIS On-line successfully deployed to live 28/06.

Issues

  • Prior to go live, there were some last minute issues with Samba shares for Autocad and Archibus client users. As a result, the documentation around this area has been improved. 
  • Since go-live a couple of issues have occurred:- - Issues with Serengeti integration, relating to scanned invoices. This has been fixed. - Production Mgmt are picking up some intermittent response issues when polling the application. Under investigation.
  • With the last minute push to get over the line, the project has moved outside the 10% budget allowance. Estimate is to come in at 58 days (budget 49 days).  A PICCL will be raised to cover this off. The project is reporting amber because of this.

Next Steps

  • Complete the retro-fit of EST080 changes back into TEST.
  • Deployment Sign-off.

  • Project is dependent upon the outputs of-outcomes from project COM025 (BI/MI architecture), and the emerging project COM028 (EDW build).
  • The technical and development skills required for the project have been identified as a critical success factor. Discussions are on-going with the head of development services.
