Commentary

In this reporting period, work has continued on both projects, with each project reporting a GREEN RAG. The Notifications project, progress has been made however, resource availability has resulted in some replanning of the remaining work. The MyEd project has also made steady progress. The remaining migrations have been reestimated with milestones replanned to accommodate this. In the next reporting period, the second release, the preview for staff, applicants and alumni will be released. The switchover is now scheduled for the second week of July, this will allow adequate time for the new MyEd to run before start of term.

Achievements in last period

  • Deployed fix to Exam Scheduler notifications
  • Service notifications for Student Systems in excess of 100,000
  • Ongoing Service team engagement with ACE, Income team
  • Geosciences engagement for pilot for Exam Scheduling for April exam diet
  • Prep for JIRA development fixes when developer resource assigned in early May
  • Unicon resource on site end of April to work on WP0 community code

Issues

  • Investigation into Alma webhooks still outstanding by Library team to close WP2
  • Issues encountered when filter added for Geo sciences exam scheduling notifications - investigation required as possible changes to views have been impacted by developments on Exam Scheduler - JIRA raised
  • Review of exam scheduler process for future exam diets
  • Developer resource constraints has required change to developer resource however they have been made available to required timescales
  • Request for extension of Service manager contract resource under review, currently no funding available via DTI020 this has been escalated to Programme Manager and Portfolio Manager

Next steps

  • Development work starts on agreed JIRAs

  • Testing of JIRA fixes

  • Prep for deployment of JIRAs to Live

  • On schedule for Release 2.0 MVP (preview) on 27/5/19
  • 53 portlets scheduled for inclusion in Release 2.0
  • 19 portlets in UAT
  • 3 portlets signed off

Communications Plan

  • 8/3/19 - email update issued to college IT heads 
  • 12/3/19 - message issued to leaders in Service Excellence Leader call  
  • 12/3/19 - demos completed for Service Desk (two demos back-to-back)  
  • 13/3/19 - message for leaders reinforced in the Leader Brief email (which provides a link to the call) 
  • 13/3/19 - filming took place for creation of video communications promoting the forthcoming improvements and benefits to MyEd.  Additional filming took place on 29/3/19 and 3/4/19.
  • 25/3/19 – email issued to all staff (issued by Internal Comms) 
  • 28/3/19 - announcement on current MyEd inviting students to try our Preview improved
  • 28/3/19 – email issued to all students (issued by Internal Comms)

  • 24/4/19 – meeting with Student Induction Manager to plan use of screen savers on open access lab screens and Student Association screens during Welcome Week in order to promote the changes to MyEd.  In addition the comms will be included in other channels for new students.  A follow up meeting to plan the detail is scheduled for 8/5/19
  • w/c 29/4/19 – work to finalise the video communication promoting the forthcoming improvements and benefits to MyEd.  This is a one minute video featuring students summarising the key benefits of MyEd and the changes to MyEd, and will be used on a loop with the screen saver graphic on open access lab screens and Student Association screens during Welcome Week in order to promote the changes to MyEd

Next steps

  • Further migration work in preparation for Release 2.0
  • Further technical work supporting Release 2.0
  • Secure additional development resource (Issue 13 )
  • Continue working with testers during UAT to ensure portlets are signed off
  • A further tranche of portlets will be moved to test at the end of sprint 15 (9th May) to allow further UAT
