Commentary

The UCP & Notifications Programme activity still progressing :

  • DTI011 re-plan is now out for senior management review and will be presented to Steering Group on 18th April (delayed due to unavailability of steering group members for meeting planned on 30th March).
  • Also SAS002 evaluation of contact details for approval and agreement to close down project.
  • Requests for new project for UCP re-plan under DTI044 has been agreed and also SAS012 for Contact Details Rollout
  • DTI020 is gathering momentum following discussions with USD and Exam Scheduler project for potential integrations, the project team are preparing activity to deploy the basic notifications backbone targetting an end of May date. An interim Service Owner is in place which is helping towards replanning activities.
  • The key risk to the programme is a overspend on forecast to end of financial year, areas have been identified to reduce :
    • PRICCL to be raised to reduce Programme Management days allocated as unlikely to be utilised, previously highlighted to Steering Group (66 days reduction)
    • Following discussions between DTI011/044 project team and MyED Service team now unlikely to require MyED Small improvements project of 50 days
    • Total reduction of 116 days on programme budget
    • This has been reviewed with Portfolio Manager and agreed, raised to Programme Owner for approval.

  • Technical Architecture design improved

  • UCP Re-scope paper (v0.6) approved by Project Sponsor, Programme Manager and Portfolio Manager.

  • DTI044 approved by WIS 30/3/18 based on UCP Replan v0.6. Agreed, v0.6 form basis of a Project Brief document/project plan for DTI044.

  • Infrastructure lead, production management and graphic design leads engaged in project.

  • Risk/PICCL Logs up-to-date

Issues

Next Steps

  • Suspend DTI011 from 6/4/18 (subject to WIS approval). Remove ASTA remaining effort from DTI011 (as soon as all timesheets up-to-date to 6/4/18). Submit PICCL to cover changes in milestones.

  • Close all DTI011 PICCL, Risks and other logs

  • Create/update DTI044 project plan, risks, PICCL, benefits and Project Brief/Plan
  • DTI011 Project closure actions to begin.

 

The project status is AMBER as re-scope plan to be approved by Steering Group. Scope reduced by Sponsor to remove new content, but infrastructure, content audit, UI redesign, content migration (refactor and rebuild) all still in scope.

Achievements in last period

  • WP1 :
    • UAT Review and update of pilot JIRAs
    • Service documentation out for review with interim Service Owner
    • Discussions with Lisa Dawson and Colan Mehaffey have identified possible triggers from EUCLID to incorporate into the service
    • Draft implementation plan produced and distributed for comments
    • Review possible dates for pilot rollout where reduced impact o MyEd - possible date 28th May
  • WP3 : Walkthrough of Exam Scheduler workflow with BA on SAS005 project and have established options for where notifications could potentially fit into the process. A further session to be arranged with project developer to understand integration links and if any APIs are required 
  • WP4 : Workflow diagrams distributed for comments by project team, arrange further session to walkthrough and update with team
  • Notifications Service Overview paper produced for submission to Jennifer Milne and IS Applications Senior management team
  • Meeting held with Gosia Such and Neil Bruce to brainstorm potential options for Notification Service, exploring onboarding to the service, stakeholder mapping, possible integration with IS Alerts, EASE / AD synchronisation

 

Issues

  • Key roles of Service Owner / Business Owner remains to be confirmed, Colan Mehaffey is currently fulfilling interim Service Owner role whilst LTW resource is confirmed via HR process, this has been delayed due to industrial action. Request has been issued to Gosia Such to ask if she would consider taking on Business Service Owner role.
  • Project team are re-planning work packages with a view to deploy pilot in May, on proviso the project is given approval by MyED Service Owner
  • Key project resource, Service Manager and Developer, have been on leave from mid March, both being available early to mid April therefore limited resource to progress project activity over this period.

  • Project planning session to be arranged w/c 23rd April and review stakeholder mappings and communication plans

The project status is currently AMBER :

An interim Service Owner has been agreed until permanent position has been approved. Project team planning out pilot deployment and investigating other potential notifications options to take the service forward. Revised milestones to be agreed.
